Summary
The Representative Payee (Rep Payee) Assistant supports the financial management needs of clients who are unable to manage their own Social Security or other benefits. Under the direction of the Rep Payee, the Assistant helps ensure clients' basic needs are met by accurately budgeting funds, tracking expenses, paying bills, and maintaining detailed financial records. This role requires strong organizational skills, confidentiality, and a commitment to serving vulnerable populations with compassion and integrity.
Essential Duties and Responsibilities:
- Residential Services Client Finances – Assist Rep Payee’s with paying bills for residential clients including rent, utilities, phone, etc.

Bank, EBT, and Petty Cash Reconciliations - Every month assist with verifying the reconciliation of all accounts we manage for our clients and organize and maintain all receipts for all residential clients.

Quarterly Reports – Support with producing quarterly reports for all residential clients.

Client Financial Assistance - Continuously review and seek applicable financial assistance for each client and work with Rep Payee to apply for any services each client would qualify for.

Residential Allowance Requests -Assist with gathering documentation needed to complete residential allowance requests for the previous month for clients that need extra financial assistance.

Individual Financial Plans – Support in writing Individual Financial Plans for all residential clients as well as a monthly budget for the year.

Documentation – Support and organize within the company electronic documentation systems collect and maintain all necessary and appropriate documentation.

Social Security – Work with Rep Payee to make appointments with Social Security for/with clients to make any changes to their SSI/SSA benefits.

QA -Visit client’s homes and audit funds and client site money ledger. Report discrepancies in the homes and in general accounting immediately to the Financial Director, Residential Director, and Area Director.

Model a positive, proactive and priority-focused communication style which encourages collaboration and allows space for all voices to be heard, with the goal of improving the quality of life of our team and our clients.

Assist with DSHS reviews, housing assistance recertification paperwork, and documentation for SSA, as needed.

Maintain professional working relationships with DDA, guardians, alternate rep-payees, landlords, service providers, and other members of the community.

Support Rep Payee with implementing and monitoring compliance with DDA/SSA regulations and policies, WACs, and Sails WA policies and procedures. Provide feedback to Rep Payee as needed.

Assist program clients with outside Rep Payees to complete required documentation and services.

Perform other duties as assigned.

To successfully perform the essential duties of this position, an individual must be able to sit at a desk for four or more hours per day.
Minimum Qualifications:
-
Must be 21 years of age with High School Diploma or GED Equivalent required.

Must have a fingerprint and criminal clearance prior to starting.

Computer processing skills, general accounting and bookkeeping training, record keeping practices and training, or related job experience of greater than three years in a similar position.
Licensing Requirements:

Must pass a Washington State background check

WA Driver License and WA Auto Insurance

First Aid/CPR Certified (within 120 days of employment, training can be provided)

Blood Borne Pathogen (within 120 days of employment, training can be provided)

Need to obtain CPI Blue Card
Ongoing Eligibility Qualifications:
- Complete and pass the background check screening upon hire and every two years thereafter, or as requested.

Maintain active NAR, CPR/First Aid, Nurse Delegation and other required certifications.

Complete a minimum of 12 hours of continuing education annually.
