Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to C-suite executives within a local organization in the City of Atlanta.

Duties
- Manage and coordinate complex calendars, scheduling meetings, appointments, and business travel arrangements with precision.
- Prepare, edit, and proofread correspondence, reports, presentations, and other documents with attention to detail.
- Organize and facilitate company events, meetings, and conferences from planning stages through execution.
- Handle confidential information with integrity and discretion in all communications and documentation.
- Utilize productivity software such as Microsoft Office Suite, Google Workspace, and video conferencing tools to support daily operations.
- Support project coordination efforts by tracking deadlines, preparing agendas, and documenting meeting minutes.
- Manage internal communication channels to ensure timely dissemination of information across departments.
- Coordinate business travel logistics including accommodations, transportation, and itineraries.
- Oversee office management responsibilities such as filing systems, data entry, front desk duties, and multi-line phone systems.
- Collaborate closely with C-suite executives on special projects requiring organizational skills and attention to detail.
- Facilitate the use of electronic signature platforms like DocuSign for contract management.
Qualifications
- Proven experience as an executive assistant or personal assistant supporting C-suite executives in a fast-paced environment.
- Skilled in Adobe Acrobat Pro, AI tools and Microsoft Office (Word, Excel, PowerPoint, Teams, video conferencing software) with a preference for high proficiency in these tools
- Assist with event planning and coordination, including setup/teardown and vendor and office maintenance as needed
- Contribute consistently to administrative continuity efforts (training manuals, SOPs, documentation)
- Obtain notary commission within two months of employment and may need to initiate e-notary authorizations within six months of employment
- Be on the main phone line call queue, managing phone and visitor interactions. Ensure effective communication, directing calls and visitors to the appropriate departments or individuals while maintaining professionalism
- Independently manage travel arrangements, including logistics and itineraries
- Model administrative best practices, mentor junior staff as needed and support team development
- Enter time and expenses accurately; handle confidential information; file projects and materials per firm-specific guidelines; maintain regular, predictable and punctual attendance
- Build cross-department rapport, uplift team morale and model professionalism
- Strong in report creation, template development and process improvement; able to lead small projects and mentor junior staff
- Demonstrated expertise in calendar management, email correspondence, and phone etiquette.
- Experience with bookkeeping software such as QuickBooks; familiarity with basic accounting principles is preferred.
- Excellent organizational skills with the ability to prioritize tasks effectively under tight deadlines.
- Exceptional written communication skills with keen proofreading abilities.
- Ability to handle confidential information responsibly while maintaining professionalism at all times.
- Strong project management capabilities coupled with the ability to coordinate multiple initiatives simultaneously.
- Technical proficiency in office management tools including data entry systems, filing procedures, and productivity software.
- Prior experience in event planning or organizing large-scale meetings is advantageous.
- Demonstrated customer service orientation with excellent interpersonal skills.
EDUCATION AND/OR EXPERIENCE
- Associate’s or Bachelor’s degree from an accredited college or university preferred; relevant professional experience may be considered as a substitute
- Minimum of six years of experience in an executive administrative role, with demonstrated experience supporting C-suite or senior-level principals
