Office Administrator / Project Coordinator
We’re a fast-growing remodeling company in the Tampa Bay area looking for an organized, motivated, bilingual team member to help keep our projects and office running smoothly.
This position is perfect for someone who wants more than a typical office job. You'll be involved in real construction projects, work directly with clients and subcontractors, and have the opportunity to grow into a Project Manager role over time.
Construction experience is a plus, but not required. We're willing to train the right person who has a great attitude, strong organizational skills, and a willingness to learn.
What You'll Be Doing
No two days are exactly the same. You'll help manage daily office operations while supporting active construction projects from start to finish.
Office & Administrative Support
- Answer incoming phone calls and assist new client inquiries
- Schedule appointments and meetings
- Organize project files and job documentation
- Send estimates, contracts, and change orders for signatures
- Create and send invoices
- Scan receipts and documents for accounting
- Send paid receipts to clients
- Maintain QuickBooks records and project files
- General office organization and light office upkeep
Project Coordination
- Order construction materials (doors, windows, slabs, LVLs, block, hardware, etc.)
- Track inventory at the office and storage unit
- Pull permits and manage permit paperwork
- Notarize and file Notices of Commencement (NOCs)
- Coordinate schedules with subcontractors and vendors
- Send work orders and subcontractor agreements for signature
- Follow up on active projects to ensure everything is running smoothly
- Assist with warranty calls and service requests
Client Communication
- Follow up on estimates that have been sent out
- Check in with past clients regarding warranty items and customer satisfaction
- Coordinate tile layouts, grout color selections, and client approvals
- Assist clients with project-related questions and updates
Marketing & Organization
- Organize and tag photos in CompanyCam
- Take and organize weekly jobsite photos
- Assist with social media content and project documentation
Job Site Visits
This position is primarily office-based, but occasional jobsite visits will be required to:
- Check project progress
- Take photos and document work
- Meet with clients or subcontractors
- Gain a better understanding of active projects

Position Summary
This role is a combination of office administration, project coordination, client communication, scheduling, permit management, material ordering, and supporting field operations.
The position is approximately 80% office-based and 20% field-based, with occasional visits to active job sites as needed.
