Job Summary
Responsible for providing office and clerical services to a donor subsidized veterinary clinic. Responsible for handling front office reception and administration duties including greeting customers, answering phones, handling clinic inquiries regarding various programs offered by the clinic, records keeping, accounts maintenance, cash processing, data entry, word processing.
Responsibilities
· Provide professional, friendly and quality care to patients and clients.
· Maintain a safe and clean reception area by assisting clients with unruly pets, ensuring all dogs are leashed and cats and smaller pets are caged and isolating aggressive pets.
· Handle angry or grieving clients in a calm, reassuring manner. When necessary, enlist a doctor or the clinic manager to resolve the complaint.
· Always be sensitive to conversations that could exacerbate the anxieties and grief clients experience during euthanasia or death of their pets.
· Answer client’s questions either over the phone, in person or via email. Provide knowledgeable sub-professional veterinary advice concerning the care and treatment of animals. Refer questions unable to fully or accurately answer to doctors or technicians.
· Follow established clinic policies and procedures in referring clients for immediate treatment of their pets when requests are accompanied by complaints of acute symptoms. Determine nature of injury/illness and attempt to reassure distressed pet owners. Determine whether immunizations and/or tests are current. Recommend update of necessary immunizations and/or tests to clients when applicable.
· Schedule appointments, obtaining all necessary data concerning the patient and owner.
· Receive appointments by retrieving client records. Complete required forms such as consent forms, estimates, etc. and obtain all necessary information. Be able to give estimates for services to be performed on patients.
· Discharge patients. Review charts of patients being discharged from the clinic for completeness of information, make new appointments or note changes in patient status as necessary. Enter charges and create follow up appointments in system. Present clients with medication(s) and instructions.
· Assure all financial obligations are met by owners. Collect client fees, make change, process credit card and pet health insurance transactions, assist in making count of cash drawer, and run end of day transactions.
· Collect lab specimens from pet owners, match patient records to the sample and submit samples to veterinary technician.
· Enter data into the computer system. Retrieve and modify computerized records. The practice management software includes, and is not limited to such areas as receipt and/or invoicing to update medical/financial records, billing and aging of accounts, client records, pet records, word processing to produce letters for general correspondence and special mailings to clients, etc.
· Perform a variety of clerical duties such as organizing reception area, typing correspondence and cleaning. Assists in the ordering, receiving and stocking of supplies.
· Work well with all employees and volunteers. Ensure actions support the mission of Animal Humane New Mexico, the clinic, and the doctors.
· Maintain strict confidentiality regarding clients and patients.
· All other duties as may be assigned.
Job Conditions
While performing the duties of this position, employee is exposed to hazards associated with aggressive patients, hazards associated with infected animals and controlled substances; exposure to unpleasant odors and noises; exposure to bites, scratches and animal waste; possible exposure to contagious diseases.
Job Requirements
· High school graduate or equivalent. Minimum of (1) year medical, veterinary or animal technical training from accredited school or private practice is desired. AA degree from two year college or technical school preferred.
· One year experience as a receptionist in a veterinary or medical practice. Typing and computer skills are required
· Strong communication and client service skills, considerable tact and diplomacy, ability to great clients in a professional, friendly, hospitable manner
· Ability to multitask.
· Excellent written and oral communication skills (English). Bilingual Spanish is a plus.
· Demonstrated ability to work effectively in a team environment.
· Perform general physical activities requiring bending, standing, stooping, going from room to room, sit, talk, listen; may be required to walk or stand for long periods of time; lift up to 50 pounds on occasion unassisted. Regular attendance and timeliness are essential functions of the position.
