Responsibilities Include:
Financial / Accounting Administration
- Process invoices and accounts payable
- Deposit checks and record bank deposits
- Reconcile bank statements and credit card accounts
- Maintain vendor COIs, ACH, and W-9s
Property / Real Estate Administration
- Coordinate tenant communications and notices
- Maintain lease files and key dates (renewals, expirations, insurance certificates)
- Manage rent rolls, delinquency tracking, and tenant billing
- Support closing documentation and transaction tracking
- Maintain property records, permits, and compliance documents
Office Administration
- Respond to general inquiries
- Manage office inventory as needed
- Manage calendars, meeting scheduling, and conference room coordination
- Prepare meeting agendas, packets, and minutes
- Coordinate mail, shipping, and deliveries
- Maintain office equipment and service requests (printers, copiers, etc.)
Records & Document Management
- Maintain filing systems (paper and electronic/Drives)
- Organize and archive contracts, legal documents, and correspondence
- Ensure accurate data entry and database management
- Manage document templates and standardized forms
- Track deadlines and maintain compliance records
Executive / Leadership Support
- Prepare reports, presentations, and spreadsheets
- Coordinate internal communications
- Handle confidential correspondence and sensitive documents
- Assist with special projects and event coordination
Requirements:
· Proven experience with software programs, including Microsoft Office 365and QuickBooks Online.
· Office management experience
· General understanding of accounting principles and practices.
· Knowledge of financial concepts including balance sheet reconciliation, account analysis, and bank reconciliation.
· Familiarity with accounts payable/receivable processes and payroll management.
· Ability to perform detailed account reconciliation and bank statement review accurately.
· Excellent organizational skills
· Prior experience in real estate management and bookkeeping is highly desirable.
Pay: $23.00 - $25.00 per hour
