The Commercial Accounts Assistant will work directly with the Commercial Manager to assist with commercial fleet accounts, municipal and government bids, customer communication, vehicle delivery coordination, dealership administration, CRM follow-up, and operational support.

Monitor and track NY State bids, PA COSTARS bids, municipal contracts, government fleet bids, and commercial account opportunities
Research and identify additional commercial fleet sales opportunities
Assist with preparing and submitting government bid proposals, commercial quotes, pricing requests, and contract documentation
Maintain accurate records of bid deadlines, awards, renewals, and account requirements
Coordinate with dealership departments regarding vehicle availability, fleet inventory, pricing, and specifications
Support growth of commercial business accounts in the Elmira, Corning, Binghamton, and Valley regions
Provide professional customer service through phone calls, email communication, and account follow-up
Assist commercial and fleet customers with quotes, orders, deliveries, and account support
Maintain customer records within CRM systems and dealership software
Support onboarding of new commercial accounts and fleet customers
Assist with appointment scheduling and account communications
Conduct customer follow-up and CRM task management
Print, mail, and email commercial prospecting materials and account correspondence
Perform administrative support for the Commercial Manager and commercial sales department
Handle data entry, document management, spreadsheets, and internal reporting
Contact insurance companies for certificates, coverage verification, and compliance documentation
Assist with registration paperwork and commercial fleet documentation
Support office organization, workflow improvements, and operational efficiency
Coordinate commercial vehicle deliveries and customer drop-offs
Assist with delivery scheduling and fleet logistics
Occasionally deliver vehicles to commercial customers and fleet locations
Coordinate with sales and service departments to ensure vehicles are prepared for delivery
Strong organizational and multitasking skills

Ability to work independently and meet deadlines
Computer proficiency including:
Valid driver’s license with clean driving record
Administrative Assistant experience
Customer Service Representative experience
Automotive dealership experience

CRM software experience
