Job Summary
The Sales Coordinator is a key member of the team, responsible for monitoring order fulfillment, ensuring new order entry into software systems such as Famous, establishing and maintaining positive working relationships with 3rd party marketers, freight companies, and other vendors. They facilitate communication with buyers/marketers to fulfill orders and liaise with farming operations, cold storage, and logistics to ensure seamless order execution.
Responsibilities / Task List
- Working with management and operations staff to ensure the appropriate pack styles are selected for each harvested site.
- Ensuring daily reports are sent out to management summarizing harvest estimates based on pack style and variety. This includes setting up pack plan for next day’s harvest activity based on management feedback and working with field crews to make sure pack plan is understood and can be executed upon.
- Ensure weekly projections are sent out based on orders in the system. Work with management staff to find pack styles for surplus fruit volume as necessary.
- Communicating with 3rd party marketers on order fulfillment, ship dates, pack styles, material questions, fruit specifications, troubleshooting and any other related topic.
- Notify buyers/marketers of any potential issues with their orders and help solve problems.
- Receiving and inputting orders from marketers, this includes manual entry and verification for automated order entries.
- Constant monitoring of emails making sure orders are not missed and handled in a timely manner.
- Manage orders across all systems, interfaces, and portals to ensure no orders are missed.
- Standard order and system order updates, including but not limited to packaging updates that need to be communicated to material and field personnel.
- Support Accounts Receivable by ensuring they have appropriate information necessary, addressing issues, and assisting with aging accounts.
- Invoicing export orders to multiple 3rd parties during the harvest season.
- Ensuring all orders have been invoiced in a timely manner, following up with changes/updates on invoices, amending/revising invoices, and ensuring remittance in appropriate timeframe.
- Tracking expected ship dates for program / specialty pack business and ensuring product is packed and ready to ship based on shipment date provided by outside marketers.
- Judgement and communication. Make sound decisions utilizing SOP’s, knowledge and sound problem solving.
- Recordkeeping of processes, documents, and certifications that marketers/buyers might need.
- Having a Maximum Residual Level (MRL) report for every harvested site prior to harvest date, making these reports available as requested.
- Coordinating with Process Improvement Manager on appropriate Food Safety and Regulatory documentation.
Skills/Competencies
- Experience in Table Grape industry preferred.

- Demonstrated ability to be able to handle multiple channels of communication.
- Adaptability in a growing and changing business.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Famous software.
Schedule:
- Regular 8-hour shifts with overtime as needed.
- Monday to Friday with weekends during harvest.
Language:
- English, Spanish (Preferred)
License/Certification:
- Driver's License (Preferred)
Pay: $23.00 - $28.00 per hour
