Job Summary
Monte Vista Child Care Center, Inc. is seeking an experienced Billing Specialist & Administrative Support professional to join our growing administrative team.
The Billing Specialist & Administrative Support is responsible for managing all aspects of the revenue cycle for our Intermediate Care Facilities for Individuals with Developmental Disabilities (ICF/DD). Responsibilities include claims submission, payment posting, accounts receivable management, denial resolution, collections, authorization tracking, and maintaining accurate billing records.
This position reports directly to the Chief Executive Officer (CEO) and Executive Director and plays a vital role in building and strengthening the organization's internal billing department. The ideal candidate is proactive, detail-oriented, resourceful, and committed to ensuring accurate and timely reimbursement while supporting the organization's financial and operational goals.
Initially, this position will focus on bringing billing current and improving collections. Once billing operations become stabilized, additional administrative responsibilities may be assigned based on organizational needs and the employee's demonstrated strengths.
Essential Duties & Responsibilities
- Prepare and submit accurate claims for Room & Board and Nursing Services using Office Ally, mBill, Availity, and other billing platforms.
- Manage billing for all Monte Vista Child Care Center facilities.
- Monitor daily billing activities, including eligibility verification, census reconciliation, and outstanding claims through aging reports.
- Conduct timely follow-up on rejected, denied, or underpaid claims, including appeals and claim resubmissions.
- Post insurance payments, patient liability, adjustments, and reconcile Remittance Advice (RA) with billed claims.
- Communicate with Medi-Cal, Medicare, Molina, IEHP, Regional Centers, and other managed care organizations regarding claim status, payment discrepancies, and authorizations.
- Track and maintain Regional Center authorizations and assist with Treatment Authorization Requests (TARs) as assigned.
- Maintain accurate census and billing records for all assigned facilities.
- Work collaboratively with Executive Leadership, Nursing, Business Office, and Facility Management to ensure accurate documentation supporting billing activities.
- Prepare billing reports, accounts receivable aging reports, and assist with month-end reconciliation.
- Support process improvements to increase billing accuracy and maximize reimbursement.
- Perform additional administrative duties and special projects assigned by the CEO and Executive Director, including payroll support and other operational responsibilities as business needs evolve.
Minimum Qualifications
- High School Diploma or equivalent required.
- Medical Billing and Coding certification or equivalent experience preferred.
- Minimum of 5 years of medical billing experience preferred.
- Experience with Medi-Cal, Medicare, Molina, IEHP, and other managed care billing.
- Strong knowledge of Accounts Receivable, collections, payment posting, denial management, and appeals.
- Proficiency with Office Ally, mBill, Availity, Microsoft Office, Google Workspace, and cloud-based billing systems.
- Ability to interpret Explanation of Benefits (EOBs), Remittance Advice (RA), and Medi-Cal reimbursement methodologies.
- Excellent organizational, communication, and problem-solving skills.
- Must possess a valid California driver's license and reliable transportation.
Preferred Qualifications
- Experience working in ICF/DD, Skilled Nursing, Long-Term Care, or Home Health.
- Familiarity with CDPH, DDS, and Regional Center billing requirements.
- Experience with TAR submissions and authorization tracking.
- Experience processing payroll or assisting with payroll.
- Experience improving billing workflows, collections, and revenue cycle performance.
