POSITION SUMMARY
The Advancement Coordinator is a high-impact, growth-oriented role designed to support the organization’s fundraising efforts. This position provides operational support for the organization’s annual fundraising efforts, donor stewardship activities, special events, and development operations while assisting with new fundraising initiatives, including multi-year capital campaign. Tasks include crafting annual fundraising appeals, events, and administrative tasks related to donor communications.
Reporting to the Director of Development, this role is ideal for an adaptable professional who enjoys mission-driven work, can manage multiple priorities, and is interested in building experience in nonprofit development, communications, events, and donor relations.
KEY ROLES AND RESPONSIBILITIES
Donor Stewardship & Database Management
- Manage donor communications for in-kind donations, corporate sponsorships, and small-to-medium sized individual donations.
- Collaborate, plan and help implement annual fundraising appeals, including production and distribution of annual fundraising appeals
- In coordination with the Development Director, publish monthly Development reports for leadership
- Prepare a quarterly report on fundraising efforts
- Process and acknowledge donations in a timely and accurate manner
- Update standard donor acknowledgement forms quarterly
- Maintain donor records and constituent information in donor-database
- Generate donor reports, mailing lists, and campaign tracking reports
- Assist with donor communications including thank-you letters, acknowledgements, and stewardship outreach
- Support donor retention and engagement efforts
- Execute routine donor-database clean-up
- Assist with campaign donor tracking and confidential documentation
- Support prospect research and campaign reporting
Event and Campaign Support
- Provide administrative and logistical support for a the organization’s capital campaign
- Coordinate campaign meetings, timelines, and materials
- Assist with preparation of campaign presentations correspondence
- Help coordinate campaign events and donor engagement activities
- Assist with planning and execution of fundraising and community events
- Coordinate event logistics, materials, registrations, and communications
- Attend community events as a representative of the organization when needed
Grant & Development Support
- Assist with gathering data and supporting materials for grant applications and reports
- Conduct preliminary grant research for future funding opportunities
- Support grant tracking systems and deadlines
- Coordinate internal collection of program statistics and narratives
- Participate in training and professional development related to nonprofit fundraising and grants management
- As needed, submit small to medium sized grant and sponsorship applications
Administrative & Departmental Support
- Provide administrative support to the Director of Development
- Coordinate with and train Development Department volunteers as needed
- Maintain confidentiality of donor and organizational information
- Routinely update Department policy and procedures to reflect best practices
- Maintain organized electronic files and development records
- Review and edit outgoing Department communications as needed
EDUCATION, TRAINING AND EXPERIENCE
- Associate’s degree or equivalent professional experience
- Minimum of 1 year experience in nonprofit development/fundraising, communications, grant writing, marketing or event planning preferred
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to manage multiple projects and shifting priorities
- Strong attention to detail and follow-through
- Proficiency with Microsoft Office and Google Workspace and graphic design software, such as Canva
- Comfort learning donor databases and communication platforms
- Ability to work independently and collaboratively
- Commitment to the mission of serving older adults and community members
- Must have a strong desire to contribute to the mission of Meals on Wheels.
- Must have a vehicle that has current registration and safety inspection. Safety inspection sticker must be kept current during employment.
- Must have a valid driver’s license, and proof of insurance with a minimum of liability coverage of no less than $100,000 per person and $300,000 per occurrence required.
