Patient Services Representative
About the Role:
The Patient Services Representative serves as the first point of contact for patients, visitors, and employees, playing a crucial role in creating a welcoming and professional environment. We are seeking a personable, detail-oriented, customer service driven administrative professional to join our well-established team as a front desk representative. Responsibilities:

Provide patients with a personalized check in/out process experience that creates a timely, seamless, and positive experience both manually and at our kiosk

Be a multitasker by greeting patients and walk ins, scheduling appointments and performing a variety of administrative and clerical tasks as assigned by their manager

Provide proactive patient communication by acknowledging delays sincerely, while maintaining a welcoming demeanor, and address patient frustrations

Follow HIPAA guidelines for confidentiality of the patient and practice at all times

Collaborate with doctor(s) and team members to provide a seamless patient experience

Gather demographic and insurance information, and collect payment at time of service

Assist patients during check out by scheduling upcoming appointments, testing, or in the purchase of items (vitamins, eye drops, masks)

Accurately describe policies and procedures to new and established patients

Occasionally answer phones, take and send messages

All work is to be performed according to quality and safety standards set for the practice
Preferred Qualifications:
-
Experience in Ophthalmology or medical office a plus
-
Experience using Allscripts, EyeMD, Promptly or other EMR/Practice Management systems a plus
Minimum Qualifications:
-
High school diploma or equivalent
-
Proven experience as a receptionist or other customer service role

Proficiency in computer skills and general office equipment
-
Strong communication and interpersonal skills
-
Ability to manage multiple tasks efficiently and maintain a professional demeanor

Bilingual a plus

Ability to balance multiple tasks at the same time effectively and efficiently

Organized, with a strong attention to detail and can easily prioritize multiple tasks under pressure, while providing best in class service to patients and office staff

Professional attitude and ability to solve problems and respond to patient service requests

Excellent customer service and phone presence with proficient speaking and listening skills, the ability to show good judgment, quick decision making, and efficient management of the telephone system

Strong people skills and the ability to maintain clear and cooperative working relationships with co-workers and demonstration of regular attendance and punctuality are essential
Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer

Must be able to lift up to 25 pounds at a time
Candidate must be able to work alternating Thursday nights until 6:30 pm and alternating Saturdays 8 am – 1 pm.
