HUMAN RESOURCES RECRUITING AND ONBOARDING ASSISTANT
REGULAR FULL TIME - $24.00-26.00/HR
SHIFTS: MONDAY-FRIDAY OFFICE HOURS 8:00 AM - 5:00 PM
POSITION SUMMARY
The Recruiting and Onboarding Assistant is responsible for providing support to the Recruiter and performing various administrative and clerical tasks focused on the organization's recruiting process. This position's duties include providing support to our management teams and assisting with the company’s general hiring, recruiting, and interviewing activities. In addition to core responsibilities, this role offers the opportunity to expand skills and grow within recruiting over time.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assists the HR department in facilitating and implementing all phases of the recruitment process.
- Screen applications and determine qualified candidates to progress forward.
- Assist in scheduling interviews and oversee the preparation of interview materials as requested by the Recruiter.
- Track receipt and expiration dates for I-9 documentation
- Fax/copy/scan/email/file documents.
- Assist in tracking and distribution of exit interviews
- Issue and distribute employee ID cards for new and current employees.
- Ability to utilize recruiting platforms, including opening and closing requisitions, reviewing candidates, and moving them through requisitions as needed.
- Communicate and provide support to the department manager, ensuring the successful transition of all new hires.
- Provide a high level of customer service for applicants and managers.
- Issue Oliver’s Market uniforms appropriate to each position and department.
- Demonstrate a high level of professionalism in dealing with confidential and sensitive issues.
- Run employee status reports, sending out weekly employee PLUs and terminations to appropriate parties.
- Request terminated employee files from the information storage facility (Access).
- Issue Oliver’s Market uniforms appropriate to each position and department.
- Process all new hire paperwork and oversee accurate data entry in Sage HRMS.
- Complete various administrative tasks, including data entry in various software programs.
- Ability to facilitate all functions of the Recruiting Team in the Recruiting Lead’s absence.
- Other duties as assigned.
SKILLS & QUALIFICATIONS
- Combination of 1-3 years of support in recruiting, HR Systems, and customer service.
- Maintains the integrity and confidentiality of human resource files
- Excellent communication, collaboration, and organizational skills.
- Demonstrated ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
- Knowledge of business office operations, filing, and administrative clerical operations.
- Creative problem-solving skills and ability to evaluate multiple solutions to make sound decisions.
- Comfortable interacting with a variety of individuals in varied situations
- Strong work ethic with a professional, positive attitude.
- Ability to work independently and as part of a team.
- Must be trustworthy and dependable
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with HRIS a plus.
- Bilingual in English/Spanish is preferred. Qualified candidates may be eligible for a bilingual pay premium of $1.00 per hour upon successful assessment of language proficiency.
EDUCATION, CERTIFICATES, LICENSES
- High School diploma or GED required.
- HR certifications a plus (e.g., PHR, SHRM-CP).
- Harassment Prevention Training Certificate

- Regularly required to talk or hear
- Frequently required to sit and use hands and fingers to operate a keyboard or mouse, handle and feel phones, files, and paperwork
- Occasionally required to stand, walk, and reach with hands and arms
- Must occasionally bend and twist at the waist and neck
- Occasionally expected to lift and/or move up to 20 pounds.
- The noise level in the work environment is usually moderate while working in the office.
- The work environment may entail being in a warehouse where there is intermittent noise from machinery.
