Overview
We are seeking a dynamic and detail-oriented Fee Dispute Resolution Program and Grievance Coordinator to lead the management and resolution of fee disputes and client grievances within our organization. This position serves as the primary point of contact for attorneys, clients, and volunteer arbitrators ensuring that matters are handled efficiently, confidentially, and in accordance with applicable court rules and Association policies.
Fee Dispute/Arbitration Program (Part 137)
Administer all aspects of the Attorney-Client Fee Dispute Resolution Program in accordance with Part 137 of the Rules of the Chief Administrator.
Responsibilities include:
- Respond to telephone and email inquiries from attorneys and clients regarding fee arbitration procedures.
- Provide procedural guidance and distribute appropriate forms and informational materials.
- Open and maintain case files.
- Forward copies of petitions to respondent attorneys and acknowledge receipt to complainants.
- Enter new matters, filing fees, and case information into the Office of Court Administration (OCA) database.
- Coordinate hearing schedules by communicating with all parties to determine and schedule mutually convenient dates and times.
- Prepare and distribute hearing notices.
- Recruit, appoint, and schedule arbitrators and community representatives.
- Assemble and distribute hearing packets to arbitration panels.
- Confirm all hearing participants prior to scheduled hearings.
- Prepare arbitration awards for panel signatures.
- Issue final determination letters to all parties.
- Record hearing outcomes in the OCA database.
- Prepare and submit required quarterly reports to the Office of Court Administration.
- Recruit, train, and maintain a roster of volunteer attorney arbitrators and community representatives.
- Maintain accurate records and ensure compliance with applicable court rules and reporting requirements.
Grievance Procedure
Coordinate the administrative processing of attorney grievance matters.
Responsibilities include:
- Respond to inquiries from complainants regarding the grievance process.
- Distribute grievance complaint forms and procedural information.
- Forward complaints to the Tenth Judicial District for initial screening.
- Open and maintain confidential case files.
- Record all case activity in the grievance database.
- Notify respondent attorneys by forwarding complaint materials and requesting written responses.
- Acknowledge receipt of complaints to complainants.
- Assign investigator attorneys from the Grievance Committee.
- Provide investigators with complaint materials, forms, stationery, and reporting guidelines.
- Receive investigator reports and forward them to the Committee Chair for review and disposition.
- Prepare and send final determination letters as directed by the Committee Chair.
- Forward original case documents and final dispositions to the Tenth Judicial District.
- Maintain accurate records of all case activity and final determinations.
MISCELLANEOUS DUTIES:
· Assist staff with answering phones, lawyer referral services, membership, etc.
· Other duties as assigned.
· This position reports to the Executive Director.
Requirements
- Associates Degree or paralegal experience or a related field; advanced certifications preferred.
- Familiarity with CRM systems and data base management.
- Demonstrated project management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) for reporting and documentation purposes.
- Strong customer service skills and ability to manage multiple priorities.
- Excellent communication organization skills.
Pay: $23.00 - $25.00 per hour
