The Opportunity:
We are seeking a highly skilled and proactive Administrative Assistant to join us. The ideal candidate will be a critical thinker and adept problem solver with a proven track record of administrative support. As the primary point of contact for our industry partners, this individual will act as a crucial liaison, ensuring seamless communication and collaboration. The successful candidate should possess a wealth of experience in administrative assistance, demonstrating exceptional organizational and time-management skills. The ability to work independently and drive initiatives forward is essential, making self-driven individuals an excellent fit for this role.
Roles and Responsibilities
An Administrative Assistant at this level:
- Provides a superior level of customer service to all Realtor & Industry Partners.
- Preforms administrative support to ensure efficient operations of the office by providing managing calendars, scheduling appointments, and coordinating meetings.
- Supports the team by performing tasks related to transaction organization by maintaining confidential documents, contracts, and reports, ensuring accessibility and accuracy when needed.
- Maintains supply inventory by checking stock regularly to anticipate needs – includes placing orders.
- Makes event arrangements such as coordinating logistics, setting up for classes, preparing for sponsorship events, etc.
- Coordinates with utility companies for timely service initiations and cancellations for properties acquired and sold.
- Has prompt response to tasks using company established processes.
- Displays continuous communication to all parties involved with a task, project, or transaction.
- Keeps detailed notes at our weekly team meetings and promptly distributes to the team.
- Can deliver the necessary items to title companies throughout the Fort Worth area in a timely manner, such as earnest money checks, option period checks.
- Coordinates FedEx overnight delivery of earnest money and/or option period checks to various title companies outside of the Fort Worth area.
- Provides all necessary documentation regarding our company’s entities to title companies as needed.
- Coordinates with our insurance agent for appropriate insurance initiations and cancellations.
- Has the ability to notarize important documents, or obtain notary
- Handles confidential information with discretion and professionalism, maintaining the highest level of confidentiality.
- Assists the team in making informed decisions by conducting research, analyzing data, and presenting findings in a clear and concise manner.
- Prepares, reviews, and edits real estate documents, contracts, agreements, and reports as directed by leadership.
- Prioritize and manage multiple tasks effectively, balancing competing priorities to meet deadlines and achieve organizational objectives.
- Proactively identify opportunities for process improvement and implement efficient systems to enhance the overall effectiveness of executive support functions.
- Take ownership of tasks and projects, working independently to ensure timely and successful completion.
- Create, schedule and manage weekly social media postings for MCM Real Estate Services
- Steps up to proactively support the team
Qualifications:
Required
- 3+ years of administrative, or real estate related experience
- Excellent verbal and written communication skills
- Basic knowledge of the most common social media platforms
- Reliable transportation. Delivery of items to local partners is required.
- Ability to work full-time, in-office in Fort Worth, Texas
Preferred
- Some college, or degree preferred
- Active notary license or willingness to obtain
- Bilingual in Spanish, strongly preferred
Skills
- Proficient in Microsoft Office Suite, ZipForms, and DocuSign
- Familiarity with Monday.com
- Proficient with Google Docs, Forms, Sheets, etc.
- Self-motivated and willing to be a part of a team
- Open-minded and ready for coaching/training
- Phenomenal organizational, problem solving, and time management skills
- Highly skilled in communication (all written and interpersonal)
- Demonstrates a high level of integrity and commitment
- Self-starter with a positive attitude
Compensation & Perks
- $21-$24/hr based on experience
- 10 days PTO annually + 11 paid company holidays

Pay: $21.00 - $24.00 per hour
