Office Administrator / Bookkeeper
Small Design Firm is seeking an experienced, detail-oriented Office Administrator / Bookkeeper to join our growing team. This is a full-time, in-office position for someone who enjoys keeping an office organized, managing financial records, and serving as a key member of a small professional firm.
The ideal candidate is highly organized, dependable, and able to manage multiple responsibilities while maintaining accuracy and confidentiality. This position plays an essential role in the day-to-day operations of our office and works closely with firm leadership to ensure our financial and administrative processes run smoothly.
Primary Responsibilities
- Manage payroll and employee timekeeping
- Prepare client time and fee billings
- Process accounts receivable and collections
- Process accounts payable and vendor payments
- Prepare and manage purchase orders
- Follow up with vendors and suppliers
- Prepare and file sales tax reports
- Perform monthly bank and credit card reconciliations
- Prepare monthly, quarterly, and year-end financial statements
- Maintain accurate financial records and company files
- Assist with general office administration and day-to-day operations
- Support leadership with administrative and financial reporting as needed
Qualifications
- Minimum of 3 years of bookkeeping or office administration experience
- Strong understanding of accounting principles and bookkeeping practices
- Proficiency with QuickBooks Desktop
- Proficiency with Microsoft Office (Excel, Word, Outlook)
- Experience with Adobe InDesign is a plus
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Professional communication and interpersonal skills
- Ability to work independently while managing multiple priorities
- High level of integrity and discretion when handling confidential financial information
Compensation & Benefits
- $60,000–$70,000 annually, based on experience
- Paid Time Off (PTO) including holidays and vacation
- Full-time, in-office position
