Position Overview
Arrowhead Golf Club is seeking a detail-oriented and active Lead Setup Attendant to oversee the day-of operational execution for our premier Western New York event venues: The Sterling and The Timberlodge.
As the Lead Setup Attendant, you serve as the hands-on leader for the venue setup team. You will ensure that every wedding, reception, and private event space—from indoor banquet halls to outdoor ceremony areas (including our patio lounges, island ceremony locations, gazebos, and grounds)—is accurately prepared, on schedule, and elevated to our high standards before guests arrive.
Key Responsibilities
- Operational Leadership & Execution
- Direct and motivate the setup crew during daily operational shifts, assigning clear tasks and maintaining efficient team workflow.
- Read, interpret, and execute detailed floor plans, diagrams, and Banquet Event Orders (BEOs) sheets accurately for both indoor and outdoor ceremony and event spaces.
- Train and onboard new setup team members on venue setup standards, safety protocols, and equipment handling.
- Venue Preparation & Detail Verification
- Oversee and assist with setting up tables, crossback/acrylic chairs, linens, centerpieces, place settings, dance floors, and staging.
- Prepare outdoor ceremony sites and patio areas, including gas fire pits, tiki torches, patio lounge furniture, and ceremony arches/gazebos.
- Perform quality-control checks to inspect linens for stains/wrinkles, ensure silverware/glassware are polished, and confirm furniture alignment.
- Facilities & Quality Assurance
- Conduct a thorough final walkthrough of the assigned venue prior to client or guest arrival to guarantee it is 100% "Event-Ready."
- Inspect venue spaces, bridal suites, and restrooms for cleanliness, flagging any maintenance, broken equipment, or missing decor to management immediately.
- Assist with post-event breakdown, teardown, equipment storage, and resetting spaces for upcoming events as needed.
- Maintain clean, safe, organized, and secure banquet storage rooms and equipment areas.
Qualifications & Requirements
- Experience: 1–2 years of experience in banquet setup, event operations, hotel hospitality, or physical venue execution required. Prior supervisory or lead experience preferred.
- Attention to Detail: Excellent eye for layout symmetry, cleanliness, decor placement, and overall event aesthetics.
- Physical Demands: Ability to lift, push, pull, and carry heavy objects (up to 50 lbs, including banquet tables, stackable chairs, and staging) continuously throughout a shift. Ability to stand, walk, bend, and move continuously across indoor and outdoor grounds.
- Availability: Must have reliable weekend availability (Fridays, Saturdays, and Sundays), as well as flexible morning, evening, or holiday availability aligned with the event schedule.
- Leadership & Communication: Strong verbal communication skills to coordinate effectively with event coordinators, banquet captains, kitchen staff, and setup crew.
