Position Title: Leasing Consultant
Reports To: Community Manager / Assistant Community Manager / Leasing Manager
Work Arrangement: On-site. Regular, in-person attendance at the employee’s assigned community, office, or other designated Company location is an essential function of this position. This position is not eligible for a remote or hybrid work arrangement, except where otherwise required by applicable law or approved by the Company as a reasonable accommodation.
The Leasing Consultant is responsible for driving leasing activity and supporting the community’s occupancy, revenue, and resident-retention goals. This position performs all activities associated with leasing apartment homes to prospective residents, providing exceptional service throughout the resident lifecycle, and securing lease renewals.
The Leasing Consultant serves as a primary point of contact for prospects and residents and is responsible for conducting community tours, processing applications, preparing lease documents, following up with prospective residents, supporting marketing initiatives, and maintaining accurate prospect and resident information within the property management system.
Leasing & Sales

Greet prospective residents and provide a welcoming, professional leasing experience.

Respond promptly to telephone, email, internet, and walk-in inquiries.

Qualify prospective residents in accordance with established rental criteria, Fair Housing requirements, and Company policies.

Schedule and conduct professional community and apartment tours.

Present available apartment homes, amenities, pricing, lease terms, and community features using effective sales techniques.

Identify prospective residents’ housing needs and recommend available apartment homes that meet their stated preferences.

Process rental applications accurately and within established timelines.

Coordinate required credit, criminal background, rental history, income, and other screening procedures.

Communicate application requirements and status updates to applicants.
-
Prepare lease documents, move-in packages, and required resident forms.
-
Coordinate lease signings and support a smooth resident move-in experience.

Maintain knowledge of apartment availability, pricing, concessions, lease terms, and community amenities.

Perform consistent prospect follow-up to maximize leasing conversions.

Document all prospect interactions and leasing activity in the property management system.
Lease Renewals & Resident Retention

Support the community’s lease-renewal and resident-retention programs.
-
Prepare renewal letters, renewal offers, and related documentation.
-
Contact residents in advance of lease-expiration and required notice dates.
-
Discuss renewal options with residents and respond to questions regarding lease terms.
-
Follow up consistently on outstanding renewal decisions.
-
Ensure renewal documents are completed, signed, and implemented within required timelines.

Maintain accurate renewal information in the property management system.
-
Identify resident concerns that may affect renewal decisions and communicate them to the Community Manager.

Support resident-retention initiatives and community engagement efforts.
Marketing & Outreach
-
Assist in developing and executing marketing strategies designed to generate qualified leasing traffic.

Support resident-referral programs, employer outreach, and local community partnerships.
-
Conduct outreach to businesses, employers, schools, organizations, and other potential referral sources.

Use approved internet and social media platforms to promote the community.
-
Create or distribute marketing materials consistent with River View Residential branding and Fair Housing requirements.

Maintain marketing displays, leasing collateral, model apartments, and tour routes.
-
Participate in community marketing campaigns, leasing events, open houses, and promotional programs.
-
Track lead sources and marketing effectiveness within the property management system.

Communicate leasing traffic, lead quality, and market feedback to the Community Manager.
-
Coordinate marketing activities with the Corporate Marketing Department as directed.
Prospect Follow-Up & Communication
-
Follow up with prospective residents by telephone, email, text message, thank-you note, or other approved communication method.

Respond to new leads within established Company response-time standards.

Maintain organized and accurate prospect records.
-
Document prospect preferences, concerns, follow-up activity, and leasing outcomes in the property management system.

Maintain regular communication with interested prospects until they lease, decline, or request that communication end.

Provide accurate information and avoid making promises or representations that have not been authorized.

Communicate professionally, clearly, and consistently throughout the leasing process.
Move-In Coordination & Apartment Readiness
-
Inspect apartment homes before scheduled move-ins to confirm that they are clean, complete, and move-in ready.

Verify that required maintenance, cleaning, and make-ready items have been completed.
-
Report incomplete or deficient items to the maintenance team and Community Manager.
-
Coordinate completion of outstanding items with the maintenance team or approved vendors.
-
Confirm that keys, access devices, lease documents, and move-in materials are prepared before the resident’s arrival.

Conduct move-in orientations and explain applicable community procedures.
-
Document apartment conditions and move-in information as required.
-
Follow up with new residents after move-in to address questions or concerns.
Resident Relations & Customer Service
-
Provide professional and courteous service to residents throughout the lease term.
-
Respond promptly to resident questions, requests, and concerns.
-
Resolve concerns within the scope of the position or escalate them to the appropriate team member.
-
Document resident requests and communications accurately.
-
Communicate resident service or maintenance requests to the appropriate individuals.
-
Follow up when appropriate to confirm that resident concerns have been addressed.
-
Maintain confidentiality of resident, prospect, and applicant information.
-
Treat residents, prospects, guests, vendors, and coworkers with respect and professionalism.
-
Support a positive resident experience and welcoming community environment.
Payments & Administrative Support

Collect rent payments, security deposits, application fees, and other authorized charges as assigned.
-
Provide appropriate receipts and supporting documentation.
-
Accurately record or allocate payments in accordance with Company procedures.
-
Protect resident financial information and follow established cash-handling and payment-processing procedures.
-
Maintain accurate leasing, applicant, prospect, and resident records.
-
Complete required administrative tasks accurately and within established deadlines.
-
Operate standard office equipment and software used in daily community operations.
-
Assist with reports, files, correspondence, and other administrative duties as directed.

Immediately report payment discrepancies or irregularities to the Community Manager.
Fair Housing & Compliance
-
Perform all leasing, marketing, screening, and resident-relations activities in accordance with Fair Housing laws.

Apply rental criteria, leasing procedures, and community policies consistently.

Use approved forms, advertisements, marketing materials, and communication templates.
-
Avoid discriminatory statements, preferences, steering, or inconsistent treatment.

Maintain the confidentiality and security of applicant and resident information.

Follow Company policies and established leasing procedures.
-
Promptly communicate compliance concerns to the Community Manager.

Complete required Fair Housing and Company training.
Teamwork & Communication
-
Maintain regular communication with the Community Manager and maintenance team.

Participate in community meetings, training, and leasing strategy discussions.
-
Communicate leasing activity, prospect feedback, apartment availability concerns, and operational needs promptly.

Assist with office coverage and community activities as assigned.

Support coworkers during high-volume leasing periods, absences, and special events.
-
Demonstrate flexibility when schedules, priorities, or community needs change.

Complete other related duties as assigned by management.

High school diploma or GED required.
-
Six months to one year of direct leasing experience or at least one year of related sales, hospitality, or customer-service experience preferred.

Equivalent combinations of education, training, and experience may be considered.

Legal authorization to work in the United States required.

Bachelor’s degree from an accredited college or university.

One to two years of multifamily leasing, sales, hospitality, or customer-service experience.

Previous experience using a property management system.

Experience with internet lead management and social media marketing.

Fair Housing training or certification.

Valid driver’s license where operation of a community vehicle is required.
