We are seeking a highly organized Assistant Property Manager to support one of our Senior Property Managers in the day-to-day operation of a diverse portfolio of apartment communities.
This position is ideal for someone who wants to build a long-term career in professional property management and eventually grow into a Property Manager role.
Position Summary
The Assistant Property Manager is responsible for executing the daily administrative and operational functions required to keep the portfolio running efficiently.
While the Senior Property Manager is responsible for leadership, financial performance, resident escalations, vendor accountability, and overall property operations, the Assistant Property Manager ensures that the daily work gets completed accurately, professionally, and on time.
This is a hands-on position involving office work, field work, property inspections, leasing, resident communication, and coordination with vendors.
Primary Responsibilities
Leasing & Resident Services
- Manage leasing inquiries and respond promptly to prospective residents.
- Schedule and conduct apartment showings.
- Host open houses as needed.
- Coordinate lease execution and move-in scheduling.
- Process move-ins and move-outs.
- Gather and prepare security deposit documentation.
- Maintain accurate resident records within AppFolio.
- Respond to resident inquiries while escalating sensitive matters to the Senior Property Manager.
Property Operations
- Review incoming maintenance requests for completeness and proper categorization.
- Dispatch work orders through AppFolio.
- Monitor work order progress and follow up until completion.
- Coordinate vendor scheduling.
- Verify completed work with residents when appropriate.
- Assist with preventative maintenance tracking.
- Assist with annual inspections and common area inspections.
- Create work orders from inspection findings.
Unit Turnovers
- Coordinate apartment turnovers from notice through move-in.
- Conduct pre-move-out inspections.
- Conduct post-vacancy inspections.
- Coordinate vendors during renovations.
- Monitor turnover progress and timelines.
- Prepare apartments for marketing.
- Complete final pre-move-in inspections.
- Coordinate keys, lockboxes and utility transfers.
Administrative Responsibilities
- Maintain accurate documentation within AppFolio.
- Prepare notices and resident correspondence.
- Assist with compliance tracking.
- Track lease expirations and move-out notices.
- Maintain electronic property files using AppFolio and Dropbox
- Assist with owner reports and special projects.
- Prepare spreadsheets and reports as requested.
Property Inspections
Regularly visit assigned properties to:
- Identify deferred maintenance.
- Observe housekeeping standards.
- Document lease violations.
- Report safety concerns.
- Photograph property conditions.
- Identify maintenance items before residents report them.
- Recommend improvements to the Senior Property Manager.
Vendor Coordination
- Schedule vendors.
- Confirm appointments.
- Ensure access arrangements are completed.
- Monitor vendor responsiveness.
- Verify invoices and work completion.
- Report quality concerns to the Senior Property Manager.
Qualifications
Preferred:
- Bachelor's Degree
- 1-3 years of property management, hospitality, customer service, education, construction coordination, or administrative experience
- Experience using AppFolio is a plus
- California leasing experience is a plus

Pay: $27.50 - $32.00 per hour
