Job Overview:
The HR Assistant is a hands-on, collaborative role supporting day-to-day HR operations, including recruiting, employee support, performance management, HRIS and records, compliance, reporting, and engagement. The role serves as a trusted resource for employees and hiring teams while also supporting company communications, events, office operations, and customer service. Success requires strong organization, attention to detail, discretion, responsiveness, and the ability to manage multiple priorities while providing a positive employee and candidate experience. The HR Assistant may also provide coverage for the HR Manager and take on additional responsibilities as needed.
Responsibilities:
- Recruiting: Manage full-cycle recruiting in a high-volume environment, including maintaining multiple active job postings, conducting candidate screening interviews, coordinating interviews, calling professional references, communicating with hiring teams, and maintaining accurate applicant tracking system records.
- Performance Management: Coordinate performance management processes across the organization, including review tracking, documentation preparation, timeline management, and follow-up.
- Employee Support: Serve as a point of contact for employee questions, providing guidance on HR policies, procedures, and systems while appropriately escalating complex or sensitive matters.
- HRIS & Records: Maintain confidential employee records and ensure data accuracy and integrity within HRIS systems, including supporting the transition from Paychex to UKG Ready.
- Reporting & Compliance: Maintain HR reports, organizational structures, and internal documentation while supporting audits, compliance tracking, and ongoing process improvements.
- Event Planning: Coordinate and support employee events and engagement activities, including the annual holiday party, in-office events, and other team-building activities.
- LinkedIn: Support the company’s LinkedIn presence by identifying and coordinating content opportunities, including new buildings and projects, employee awards and achievements, company milestones, culture events, employee activities, and other stories that showcase our people and workplace.
- Cross-functional Coordination: Work with different departments to collect and organize relevant updates in the internal company newsletter.
- Office Support: Serve as backup support for using customer service to assist tenants and visitors, handling mail, and helping with general office needs.
- Onboarding & Offboarding: Assist with onboarding and offboarding from start to finish, including I-9 verification, new hire setup, required documentation, policy acknowledgements, system updates, and termination workflows when the HR Manager is out of office.
Qualifications:
- 1+ years experience in Human Resources or supporting an HR Department
- Highly organized with exceptional attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple priorities and deadlines
- Proficiency in HRIS systems (experience with UKG Ready preferred)
- Ability to handle confidential information with integrity and professionalism.
- Skilled in Microsoft Office Suite, especially Excel for data analysis and reporting tasks.
- Familiarity with employment & labor law, FMLA (Family Medical Leave Act), and regulatory compliance management.
