Key Responsibilities
- Manage the Dispatch Board: Coordinate and optimize daily HVAC service appointments, ensuring the right technician is sent to the right job based on priority, location, and skill set.
- Customer Communication: Act as the first point of contact for incoming service calls, providing a calm, professional, and empathetic experience for customers.
- Software Management: Maintain real-time updates and accurate data entry within ServiceTitan and utilize Podium for seamless customer communication.
- Route Optimization: Monitor GPS tracking to optimize technician routing, minimize travel time, and handle urgent, same-day service requests smoothly.
- Team Collaboration: Stay in constant communication with field technicians and parts coordinators to ensure jobs are completed efficiently and parts are tracked.
Skills & Qualifications
- Software Expertise: Proven experience using ServiceTitan is highly preferred. Familiarity with Podium is a major plus.
- Communication Skills: Exceptional phone etiquette, clear verbal articulation, and the ability to handle high-volume calls with a professional demeanor.
- Tech-Savvy: Strong data entry skills, typing accuracy, and comfort navigating multi-line phone systems and GPS/mapping tools.
- Problem-Solving Ability: Sharp analytical skills to evaluate schedule efficiency, spot bottlenecks, and adjust routes on the fly.
- Industry Knowledge: Prior experience in HVAC, plumbing, electrical, or home services dispatching is a significant advantage.
