The Clinic Assistant is responsible for supporting client engagement and administrative processes within a community-focused behavioral health organization. This position manages client intake, scheduling, and referrals, operates electronic health record systems (Carelogic, HMIS), and assists clients with access to their health records. The records custodian designation also requires the Clinic Assistant to support the Legal Department in the processing of records requests. This may include managing and processing medical records requests from patients and external entities through various channels such as mail, email, and fax. ? The role involves verifying the legitimacy and accuracy of requests, ensuring compliance with applicable laws and regulations, liaising with the HIPAA Privacy Officer and Legal team, operating electronic health record systems (e.g., Carelogic), tracking records requests, and maintaining proper documentation. This designation will be 40% of the Clinic Assistant’s role.
The pay range for this position is $19.00-$22.26 hourly, based on experience.
Essential Functions:
- Personifies a friendly “no wrong door” approach to all ISBH employees and clients
- Receives telephone queries and provides information locally and agencywide
- Operates Carelogic (electronic health record), HMIS, and other databases as assigned
- Responsible for key elements of client intake, scheduling, and engagement process
- Assists clients in accessing their own electronic health records
- Collects and assists with the processing of toxicology screens in support of behavioral medicine
- Facilitates the execution of agreements, consents, and other required client documents
- Processes referral and billing data in compliance with monthly performance measures
- Liaisons with coordinators and managers to ensure access and continuity of service
- Facilitates client referrals across health & human service systems
- Meets minimum performance standards reported monthly using systems databases
- Accept requests for records from patients and outside entities via various sources, including but not limited to mail, email, and fax
- Receives telephone queries and provides information and answers regarding records requests
- Review releases for proper signatures, names of organizations, etc.
- Request releases and additional documentation needed to fulfill requests
- Verify the legitimacy, accuracy, and authority of all such requests
- Liaise with HIPAA Privacy Officer/Legal as needed for missing documentation and to ensure appropriate releases of information
- Operate Carelogic (electronic health record) and other databases as assigned
- Record and track all record requests, releases, and authorizations within the EHR
- Retrieve, collect, and send requests for medical records as appropriate
- Request records reviews from counselors related to psychotherapy notes, and follow up if the review was not completed within the requested time
- Communicate subpoenas and requests for court appearances to the Legal Department
- Report breaches, instances of non-compliance, or problems to the General Counsel
- Notarize/certify records if requested
- Maintain an up-to-date understanding of applicable policies, processes, laws, and regulations
- Performs other duties as assigned
- Travel within the designated service area
Minimum Requirements:
Education/ Licensure:
- A high school degree or GED equivalent is required
- An associate's degree in a relevant field is preferred
Experience:
- 3 years of experience/training in business, health, communications, computers, or other related areas is preferred
- Experience with multi-need people and families is preferred
Knowledge, Skills, and Abilities:
- Excellent communication skills, both oral and written, are required
- The ability to use appropriate databases, spreadsheets, and other software is required
- Excellent organizational skills are required
- A valid driver's license and the ability to operate a motor vehicle are required
- An appropriate level of auto insurance coverage is required
- Ability to manage deadlines within a fast-paced, high-volume environment is required
- The ability to operate in an Internet-based, automated office environment is required
- The ability to maintain a high-speed internet connection is required
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer are required
- Must be able to lift up to 15 pounds at times
