Overview
The Construction Project Administrator deals with everything to do with Contracts. This role is critical to ensuring that outside plant (OSP) construction work is performed to industry standards and meets cost and Construction expectations. This position will be located in the Aspinwall / Fox Chapel area.
Key Responsibilities
- Prepare, log, track, and follow up on project RFIs - keeping all communication lines open
- Maintain RFI logs and communicate potential schedule or scope impacts to the Project Manager
- Compile, review, submit, and track submittals including shop drawings, product data, and samples
- Coordinate with vendors and suppliers on lead times, approvals, and material delivery schedules
- Prepare and issue subcontract documents in coordination with the Project Manager
- Collect and verify subcontractor certificates of insurance, licenses, DIR registration, and compliance documents
- Maintain buyout logs, subcontract status, awarded scopes, contract values, and outstanding items
- Process and track subcontractor pay applications and support owner draw requests
- Maintain job cost tracking and flag budget variances for PM review
- Maintain organized project files, meeting minutes, action items, notices, contracts, RFIs, submittals, and change orders
- Assist Site Supervisors with subcontractor schedules, material deliveries, site walks, and OAC meeting documentation
Qualifications
- Bachelor's degree (experience may be considered instead of)
- 4+ years of experience in construction or a related field
- Prior experience with RFIs, submittals, subcontract administration, or document control preferred
- Experience in construction contract review and setup of budget, submittals, project documentation identifying scope and terms
- Strong written and verbal communication skills
- Experienced communicator with tremendous organizational skills
- Ability to manage multiple logs, deadlines, details, and follow-up items with accuracy
- Collaborative mindset and willingness to support PMs, Site Supervisors, subcontractors, and design professionals
- Must be able to walk active construction sites, climb stairs or ladders as needed, and occasionally lift up to 25 pounds.
Qualifications
- 5+ years’ experience in construction and/or engineering
- College degree preferred, but not required.
- Proficiency with construction software such as Sage, Vista, Foundation, MS Project Smartsheet for Construction or other construction software

Work Environment
Work is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work is primarily a modern office setting.

- Assign and dispatch work to contract inspectors via email or through online database applications, with the ability to assist the contract inspectors in resolving complex issues.
- Involved in the development, trials, and implementation of new processes, process documentation, web applications, and field software involving NESC inspections and corrections, and pole transfer work.
- Perform training of contract personnel in the accepted aerial plant inspection and correction methods used as well as the associated field software applications.
- Issue/dispute resolution: partner with vendor team to resolve issues that arise during the construction process. Bore-throughs, tree trimming, and other complaints with citizens impacted by the fiber deployment.
- Serve as a Municipality liaison, working with various municipalities regarding permitting, traffic control, and other concerns.
- Perform invoice processing; work within project workflow databases to review and process vendor invoicing, adhering to accounting guidelines
- Act as the first-level field approval for necessary changes found in the field. Partner with the construction team regarding potential solutions.
- Support corporate values; work with team members across several disciplines including Business and Consumer, Network Services, various customer groups, including home builders, general contractors, and subcontractors.
- Perform other duties as required.
Pay: $68,000.00 - $75,000.00 per year
