Job Summary
The Dispatch Supervisor will assist the Fleet Operations Manager with the day-to-day management of the dispatch and trucking staff during the busy harvest season.
Reports to the Fleet Operations Manager
Responsibilities include (but not limited to):
Scheduling of Loads
- Communicate with Harvest Supervisors to know their plans and take care of their needs
- Call outside huller facilities and schedule loads according to their needs
- Call trucking companies to see what loads were scheduled directly through them (mainly down south loads)
- Inform Receiving of ALL incoming loads and update them to changes as they happen
- Hire outside trucking companies to pull loads as necessary
- Keep a constant flow of trailers into CWS throughout the day for Receiving
Track Trailer Movements
- Track all trailer movements in computer program
- Track green loads into the huller
- Track dry loads into CWS
- Submit work orders to maintenance for the necessary repairs, and transport the equipment to/from the repair shop so the work can be completed
Track bins
- Verify that all bins are loaded properly (per loading diagram) and strapped correctly prior to them leaving the plant
- Make sure no damaged bins are sent to outside hullers
- Use bin program to maintain accurate bin inventories for all hullers and reconcile them at the end of the season notifying Grower Accounting Manager of any discrepancies
Supervise Drivers
- Participate in the selection and training of new drivers
- Schedule drivers to maximize the use of the equipment and minimize overtime
- Promote a safe work environment by upholding company safety procedures
- Instruct drivers on daily tasks and monitor their progress throughout the shift
- Council and mentor drivers when issues arise, use disciplinary actions per company policy when needed
Supervise Dispatch Staff
- Coordinate dispatcher schedule
- Train new dispatcher(s)
- Monitor communication from dispatch staff to harvest crews and drivers
Maintain Records
- Complete document control for manifests
- Research any missing forms
- Keep inspection forms and other files as required by DOT
Freight Costing
- Compare rate to freight quote
- Enter freight invoices into system and verify information is correct
Rental Equipment
- Help source and secure rental equipment per company needs
- Track and report mileage to rental companies
Projects
Qualifications:
- Background in transportation and logistics, with experience managing drivers and coordinating fleet options – 1 Year minimum
- Supervisory Experience – 1 Year minimum
- Exceptional communication skills
- Proficient in Microsoft Office Suite
- Ability to multitask
- Knowledge of US and CA DOT Rules and Regulations
