About the Firm
We are a law firm serving veterinary professionals, including veterinarians, veterinary specialists, and practice owners. We are seeking a highly organized, dependable, and client-focused Legal Office Assistant to support our attorneys and Office Manager.
This is a detail-intensive role. The person in this position will often be responsible for receiving information, determining the appropriate next step, communicating clearly with clients, and ensuring that nothing falls through the cracks. Success requires more than completing a checklist: you must be able to retain instructions, recognize inconsistencies, ask thoughtful questions, and exercise sound judgment when circumstances do not fit a standard process.
You will report directly to the Office Manager and work closely with attorneys and other staff across the firm.
Responsibilities
- Manage prospective-client intake, including answering calls, monitoring general email accounts, gathering required information, and routing inquiries appropriately
- Serve as the first point of contact for incoming calls and general correspondence
- Schedule and maintain calendars for multiple attorneys, including consultations, meetings, deadlines, travel, and follow-up tasks
- Review scheduling requests carefully for conflicts, missing information, time-zone differences, and other potential issues
- Coordinate with attorneys and clients to confirm appointments and follow up on outstanding documents or action items
- Track pending matters and proactively identify items that require follow-up
- Draft clear, professional, and accurate client communications
- Follow established procedures while using good judgment when an unusual situation arises
- Provide clear instructions to vendors, contractors, or other staff when needed
- Assist the Office Manager with administrative and operational projects
- Maintain confidentiality and handle sensitive client information appropriately
What We Are Looking For
- Exceptional attention to detail, including the ability to notice missing, inconsistent, or conflicting information
- Strong critical-thinking and problem-solving skills
- Excellent written and verbal communication skills; professional email writing is essential
- Ability to follow multi-step instructions accurately and remember established procedures
- Strong organizational skills and the ability to manage competing priorities without frequent reminders
- Confidence working independently, making reasonable decisions, and asking questions when clarification is genuinely needed
- Ability to remain composed and resourceful when plans change or an unexpected issue arises
- Experience managing multiple calendars or schedules simultaneously
- Comfort using AI tools responsibly to improve efficiency while independently reviewing all work for accuracy
- Proficiency with Microsoft 365 and Google Workspace
- Experience with MyCase or another legal case-management platform is preferred
- Prior experience in a law firm, professional office, executive-assistant role, or client-facing administrative position is strongly preferred
- Reliable access to a quiet, professional workspace, a dependable computer, and a stable high-speed internet connection
