The heart of who we are
We are an integrative, patient-centered clinic that treats humans before diseases. We measure success by how patients feel when they walk in and how they feel when they leave — not by how many we move through the door. We choose quality over quantity, every time. Patient satisfaction and long-term trust are our first priorities.
The front desk is the single most important seat in our practice. You are the first voice a patient hears and the last face they see. You set the tone for the entire visit. Because of that, we care about who you are at least as much as what you already know how to do. Skills can be taught. Warmth, patience, and a genuine care for people cannot.
Who we’re looking for
If this sounds like you, we’d love to meet you:
- You lead with compassion, empathy, and kindness — and you can keep your composure and your smile even on a hard day, with a difficult call, or a stressed patient.
- You believe people are people, not numbers, and you treat everyone with dignity regardless of their background, insurance, or circumstances.
- You’re calm under pressure and never let frustration show in front of a patient.
- You’re organized, dependable, and take ownership of details.
- You genuinely want to learn and grow with a team that will invest in you.
What you’ll do
As our front desk assistant, you’ll be the welcoming face and steady hand of the clinic. Day to day, that includes:
- Welcoming patients warmly at check-in and check-out, and making every person feel seen, heard, and at ease.
- Managing the schedule — booking, confirming, and reminding patients of appointments, refills, and follow-ups; working the waitlist and keeping provider calendars accurate.
- Handling the front-office flow — answering phones promptly (we don’t leave people on hold), returning messages, indexing records, and keeping the waiting area calm, clean, and comfortable.
- Supporting insurance and intake — verifying eligibility and benefits, helping with prior authorizations and refills, collecting copays, and keeping patient records accurate and HIPAA-compliant.
- Caring beyond the visit — checking in on patients after a procedure, remembering birthdays, and following through so nothing falls through the cracks.
You’ll work closely with our Director of Operations and clinical team in a supportive, drama-free environment where respect for patients and coworkers is the standard.
REQUIRED
- At least 1 year front-desk or medical-office experience
- Familiarity with an EHR system — Athena One in particular is a strong plus
- Comfort with scheduling, insurance basics, and patient communication
- Experience with coding and billing
Don’t check every box? If you have the heart for this work and the willingness to learn, please apply anyway.
