The Office Administrator supports the mission of Red Rock Christian Church by managing the church office, facilitating communications with the Pastor and congregation, and supporting the various ministries of the church.
The ideal candidate is a self-starter with the ability to work independently, is flexible, friendly and has excellent communication skills.
The following constitute the major responsibilities of the Office Administrator:
Newsletters, Bulletins and Website-
Produce, print and assemble bulletins, inserts, attendance sheets and
additional printed materials for worship and special events (this includes
constant communication with Worship Committee Chair and Pastor)
- Produce weekly worship slideshow for the service and announcements. Email to Pastor and AV Tech weekly.
- Email Sunday bulletins and inserts to worship participants (weekly)
- Develop and schedule worship links email to be sent Sunday mornings at 8 am
- Monitor bulletin use, adjusting the number printed for a given Sunday/Event based on attendance patterns. Recycle bulletins on Mondays
- Develop online and physical newsletter for weekly distribution, mail out newsletters weekly.
- Develop and send email reminders on Fridays and other days as needed (Scripture to Scripture Reader, etc.)
- Update and maintain Red Rock Christian Church website as needed
- Distribute and display regional newsletter
- Maintain bulletin board in the hallway
- Print the scripture to be read in worship and place it on the pulpit before Sunday services
- Be aware of special offering events and provide all necessary materials to outreach chairperson and pastor
Coordination of Church Calendars/Schedules-
-Maintain the official church calendars (desk, website, newsletter and bulletin –
including building use) and remind congregation/Pastor of upcoming events
- Create monthly calendar and post on bulletin board and send with all newsletter emails/mailings
- Maintain current copies of schedules for Elders, Diaconate, Greeters, Openers/Closers, Worship and Wonder, Scripture Readers, Community Supper Hosts following up with all persons involved and ensuring that all roles are filled ahead of time.
- Facilitate and direct communication between Red Rock Christian Church and other organizations that use the church building such as Pacific Outreach Christian Church (POCC), etc. to the Property Chairperson and/or Pastor.
- Maintain online church directory and edit as needed per Membership Chairperson guidance
Support of Ministries-
-Monitor door, help people in need, put together food boxes, refer to Outreach, etc.
- Monitor and help maintain the Little Free Pantry by keeping it stocked and clean and notify outreach chairperson(s) of needs
- Create and monitor “Take Them A Meal” campaigns for members in need
- Input attendance information into the ALEX software program. Provide reports to Pastor
- Forward visitor information to Pastor for follow up
- Assist and coordinate mailings and emails of the fall stewardship campaign
- Ensure pews are stocked and tidy with welcome cards and offering envelopes on Friday
- Track hymns sung and forward to Worship chairperson, Pastor, and Music Coordinator (monthly)
- Track Sunday School attendance numbers and forward to Pastor and Education Minister (weekly)
- Assist Pastor with special services/seasons: Baptisms, Easter, Advent, Lent, Funerals, etc.
- Produce CCLI yearly report with input from Music Coordinator and/or Worship Chairperson(s)
- Assist Property Chairperson(s) with special projects as requested
- Match receipts to credit card statements and give to Treasurer
- Maintain membership records, including birthday/anniversary/deceased lists
- Order all communion supplies and other worship supplies per guidance from Diaconate and Worship chairperson(s)
- Track and maintain orderly files of monthly Board minutes
- Assist Administrative Chairperson in filing, on an annual basis, our Secretary of State Annual Report and the Ada County Tax Exemption Report
- Fulfill other requests as time permits
Administration of Office
-Answer phone calls/voicemail, return calls and refer callers to the appropriate person, filter sales calls
- Check mail daily, place in designated mailboxes, make copies of bills for records, shred sensitive documents
- Secure all funds (cash and checks) in locked compartment
- Order office supplies, as needed and report spending to Treasurer
- Create documents for Pastor and members as requested
- Scan and provide nursery attendant hours to Treasurer and Education Minister (weekly)
- Maintain an orderly and tidy office, supplies and files
- Monitor video doorbell for suspicious activity during office hours
- Secure Lost and Found items
Oversight of church property
-Building walk-throughs on Mondays and Fridays and any day after a large event (check doors, turn off lights, check A/C, check refrigerator for Health Code compliance, clean up, as needed, etc.)
- Report damage, questionable activity, etc., to Property Chairperson(s) and/or Pastor or other relevant church leadership
- Serve as liaison for public entities
