Position Title: Nonprofit Union Bookkeeper
Reports To: President and Secretary-Treasurer
Position Summary:
The Nonprofit Union Bookkeeper is responsible for maintaining accurate financial records and ensuring compliance with nonprofit, labor union, and regulatory accounting requirements. This position manages day-to-day financial operations, including accounts payable and receivable, payroll processing, bank reconciliations, financial reporting, and budgeting support while helping to ensure the organization's fiscal integrity.
Essential Duties and Responsibilities
Financial Management
- Maintain the general ledger and ensure all financial transactions are accurately recorded.
- Process accounts payable and accounts receivable.
- Prepare and process checks, electronic payments, and bank deposits.
- Reconcile bank accounts, credit card statements, and investment accounts on a monthly basis.
- Monitor cash flow and maintain accurate financial records.
- Record journal entries and assist with month-end and year-end closing procedures.
Payroll and Benefits Administration
- Process payroll for union officers and employees.
- Maintain payroll records and ensure compliance with federal, state, and local regulations.
- Calculate and remit payroll taxes and other required deductions.
- Coordinate employee benefit payments and retirement contributions.
Budgeting and Financial Reporting
- Assist in the preparation of the annual budget and financial forecasts.
- Generate monthly, quarterly, and annual financial statements and reports.
- Prepare financial reports for executive leadership, trustees, and board meetings.
- Monitor expenditures and assist departments in adhering to approved budgets.
Compliance and Audits
- Ensure compliance with nonprofit accounting standards, labor organization reporting requirements, and internal financial controls.
- Assist with annual audits, financial reviews, and tax reporting.
- Maintain supporting documentation for all financial transactions.
- Prepare financial reports and filings required by government agencies and regulatory bodies, including labor organization filings when applicable.
Membership and Dues Administration
- Track membership dues and other revenue sources.
- Reconcile dues collections with membership records.
- Maintain accurate financial records related to membership activity.
Administrative Support
- Maintain organized financial files and accounting records.
- Respond to inquiries regarding financial transactions and account activity.
- Assist with special projects and perform other administrative duties as assigned.
Qualifications
Education and Experience
- High school diploma or equivalent required.
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
- Minimum of three (3) years of bookkeeping or accounting experience.
- Experience with nonprofit organizations, labor unions, or membership-based organizations is preferred.
- Knowledge of fund accounting and nonprofit financial practices is highly desirable.
Skills and Abilities
- Strong knowledge of bookkeeping principles and accounting procedures.
- Proficiency with accounting software such as QuickBooks, Sage, or similar financial systems.
- Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
- Excellent organizational, analytical, and time-management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive financial information.
- Strong written and verbal communication skills.
- Ability to work independently, prioritize multiple tasks, and meet deadlines.
Working Conditions
- Full-Time, On-Site Position
- Occasional evening or weekend work may be required to support board meetings, audits, or special events.
