The opportunity
Leadership appointment. VIP Living Center Irving is seeking an experienced, decisive and hands-on Facility Manager to take ownership of daily operations. The successful candidate will be a strong people leader, disciplined operator and confident occupancy builder who can protect care quality and compliance while moving the facility forward.
This is not a passive administrative role. The Manager will lead from the front, set clear standards, hold staff accountable, resolve problems promptly and follow issues through to completion. The role has day-to-day operational authority within approved policies, staffing plans, budgets and directions from the Owner / Owner Representative.
Leadership profile
- Own day-to-day standards and outcomes; anticipate routine risks and act before they become emergencies.
- Remain visible and engaged with residents, families, staff and the physical operation of the home.
- Set expectations, delegate clearly, verify completion and address poor performance promptly and fairly.
- Make timely decisions within authority and escalate material issues with the facts, options, risks and a recommended solution.
Key responsibilitiesLeadership and daily operations
- Serve as the designated facility manager under applicable Texas assisted living requirements and direct daily operations so the home remains safe, organized, appropriately staffed and survey-ready.
- Turn policies and priorities into clear schedules, assignments, routines, controls and measurable standards; conduct regular management walk-throughs and close identified gaps.
- Maintain effective management coverage across shifts and designate an appropriately qualified and authorized employee in writing during the Manager's absence.
- Provide calm, immediate leadership during call-outs, resident incidents, inspections, severe weather, utility failures and other operational disruptions.
Resident care and family experience
- Ensure residents receive respectful, reliable and individualized care consistent with assessments, service plans, preferences, rights and the facility's licensed scope.
- Monitor personal care, medication practices, meals and hydration, activities, housekeeping, laundry, supervision and response to resident needs.
- Keep care plans and resident records accurate and current; coordinate changes in condition with families, physicians, pharmacies, home health, hospice and other providers.
- Resolve resident and family questions, concerns and complaints promptly, compassionately and professionally, with documented follow-through.
Key responsibilities, continued
People leadership and workforce performance
- Recruit, interview, onboard, schedule, supervise, coach, develop and retain competent staff in coordination with the Owner / Owner Representative.
- Maintain schedules that reflect resident and operational needs; respond decisively to call-outs and prevent unapproved coverage gaps or overtime.
- Set and enforce standards for attendance, professionalism, teamwork, documentation and resident interaction; recognize strong work and address underperformance consistently.
- Ensure mandatory orientation, training, competencies, screenings and certifications are completed and documented; maintain reliable team communication and shift handovers.
Compliance, quality and safety
- Maintain continuing compliance with HHSC requirements, 26 TAC Chapter 553, resident rights, the facility license, fire and life-safety standards and company policies.
- Keep resident, personnel, training, medication, incident, admission, emergency and facility records accurate, confidential, organized and survey-ready.
- Conduct routine audits, assign corrective actions, verify completion and prevent repeat deficiencies; lead inspections and promptly inform the Owner / Owner Representative of regulatory contact or material findings.
- Ensure incidents and reportable events are protected, investigated, documented, reported and escalated on time; maintain emergency, infection-control, food-safety and drill arrangements.
Admissions, occupancy and community relationships
- Grow and sustain occupancy through prompt inquiry follow-up, persuasive tours, professional communication, community outreach and disciplined pipeline management.
- Build trusted relationships with hospitals, rehabilitation providers, home health and hospice agencies, physicians, social workers, churches, senior-care professionals and families.
- Coordinate safe admissions, move-ins, transfers and discharges, confirming that each prospective resident is appropriate for the facility's license, staffing and care capabilities.
- Represent VIP positively and ensure all marketing statements and admission commitments are accurate, ethical and deliverable.
Facility standards, budget stewardship and reporting
- Maintain a clean, safe, orderly, welcoming and presentation-ready home; identify and follow through on supplies, room readiness, repairs, preventive maintenance, security and approved vendor work.
- Work with the Owner / Owner Representative to agree a practical monthly operating budget based on resident, staffing, supply, maintenance and activity needs.
- Manage approved day-to-day facility spending within the agreed budget and delegated limits; keep receipts and supporting records and submit accurate spending and variance reports.
- Provide concise weekly operational reporting and immediately escalate serious incidents, regulatory contact, staffing crises, life-safety failures, material variances and matters outside delegated authority.
Financial responsibility boundary. Billing, collections, payroll funding, cash-flow management and other company-level financial administration remain with the Owner / Owner Representative. The Manager's financial remit is the agreed operating budget, approved facility expenditure, supporting records and timely spending and variance reporting.
Experience, qualifications and application
Required experience and qualifications
- Prior experience as an Assisted Living Manager, Group Home Manager, Residential Care Manager, Facility Manager or in a closely comparable leadership role is required.
- At least three years of relevant assisted living, residential care, senior-care, health-care or comparable operations experience, including substantial responsibility for leading staff.
- Demonstrated competence in setting standards, scheduling, performance management, conflict resolution, decision-making, incident leadership and staff accountability.
- Working knowledge of Texas assisted living regulations, survey readiness, resident rights, care planning, medication documentation, incident reporting, infection control and emergency procedures.
- Strong marketing, networking, tour, follow-up and ethical sales skills, with evidence of supporting admissions or occupancy growth.
- High school diploma or recognized equivalency; completion of, or ability to complete, the required Texas assisted living manager training within applicable timeframes and satisfy ongoing HHSC qualification, screening and continuing-education requirements.
- Excellent communication, organization, judgment, initiative, coaching, documentation and computer skills, combined with a compassionate resident-centered approach and the resilience to enforce standards.
Preferred
- Successful management experience in a Texas Type B assisted living facility or comparable small residential-care home.
- Experience leading HHSC surveys, plans of correction, admissions, occupancy development, vendor coordination, operating budgets and spending reports.
- Experience with eMAR or care-documentation systems and supporting residents living with dementia, complex ADL needs or receiving hospice services.
Work arrangement
- Full-time and on duty at the facility 40 hours per week. Scheduling follows operational needs, with flexibility to respond during evenings, weekends, call-outs, inspections and emergencies.
- This is a hands-on operational role. When necessary, and only when trained and authorized, the Manager may assist with facility routines or resident-care support to protect safety and continuity.
