Client Relations Specialist
Position Overview
Secure Lox is seeking a professional, detail-oriented, and highly organized Client Relations & Customer Account Specialist to join our team. This position combines client relationship management, customer account support, accounts receivable/payable, order coordination, and administrative operations.
The ideal candidate will serve as a key point of contact for customers while ensuring accurate account records, timely billing and payment processing, and effective coordination between clients and internal departments. This position requires excellent communication, strong follow-up skills, accounting knowledge, and the ability to manage multiple priorities in a fast-paced environment.
The role will work closely with the Sales, Accounting, Technical Support, Installation, and Warehouse teams to ensure a smooth customer experience from order placement through payment, shipment, installation, and ongoing service.
Key Responsibilities
Client Relations & Account Management
- Serve as a primary point of contact for assigned customer accounts.
- Build and maintain professional, long-term relationships with customers.
- Respond to customer inquiries by phone and email in a timely and professional manner.
- Follow up proactively on orders, shipments, installations, service requests, billing matters, and outstanding issues.
- Monitor customer satisfaction and identify opportunities to improve the overall client experience.
- Resolve customer concerns and coordinate with management or other departments when escalation is required.
- Maintain accurate customer records, account information, communication history, and account updates.
- Assist customers with reorders, renewals, product upgrades, and other sales opportunities.
- Conduct follow-up communication to ensure customer needs have been addressed and issues have been resolved.
Accounts Receivable & Accounts Payable
- Process customer and vendor invoices and verify information for accuracy.
- Manage accounts receivable and accounts payable transactions.
- Follow up with customers regarding invoices, outstanding balances, and payment-related inquiries.
- Communicate professionally with vendors regarding invoices and payment matters.
- Conduct account reconciliations and ensure financial transactions are properly recorded.
- Review financial and account information and promptly research and resolve discrepancies.
- Maintain accurate financial records and supporting documentation.
- Assist with month-end accounts receivable and accounts payable activities.
- Follow established company financial procedures and applicable accounting standards.
- Utilize Ecount and other accounting/payment platforms for transaction processing and account management.
Order, Shipping & Operational Support
- Coordinate with Sales, Warehouse, Technical Support, and Installation teams regarding customer orders and account-related matters.
- Verify order and customer information before processing.
- Create and process shipping labels for outgoing orders.
- Coordinate shipment documentation and provide customers with tracking information when appropriate.
- Follow up on delayed, incomplete, or otherwise problematic shipments.
- Assist with order processing, inventory coordination, and warehouse operations as needed.
- Maintain accurate documentation related to orders, shipments, customer accounts, and payments.
Required Qualifications
- College degree in Accounting, Finance, Business Administration, Communications, Marketing or a related field is required.
- Previous experience in customer service, client relations, account management, accounts receivable, accounts payable, or accounting support preferred.
- Strong understanding of basic accounting principles and account reconciliation.
- Excellent written and verbal communication skills.
- Strong interpersonal and customer-service skills.
- Professional phone and email etiquette.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple customer accounts and priorities simultaneously.
- Strong analytical and problem-solving abilities.
- Ability to work independently while collaborating effectively with multiple departments.
- Proficiency in Microsoft Office, including Excel, Word, and Outlook.
- Experience with accounting software, CRM systems, POS/payment platforms, or shipping systems is preferred.
- Experience with Ecount and FedEx Shipping Manager is a plus.

Position Summary
The Client Relations Specialist plays an important role in maintaining strong customer relationships while supporting the financial and operational accuracy of customer accounts. The position serves as a bridge between customers and Secure Lox's internal departments, helping ensure that orders, payments, shipments, installations, and service matters are handled accurately, professionally, and efficiently.
