Responsibilities
- Oversee daily office operations, including managing supplies, equipment, and facilities maintenance to ensure a well-functioning environment
- Serve as the front desk receptionist, greeting visitors, handling inquiries, and directing guests professionally with excellent phone etiquette
- Manage multi-line phone systems, screen calls, and relay messages efficiently while providing outstanding customer service support
- Coordinate calendar management for executives and team members, scheduling appointments and meetings with precision
- Maintain accurate records through data entry, filing systems, and document proofreading to support administrative accuracy
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations
- Handle clerical tasks such as photocopying, scanning, filing, and organizing documents to streamline office workflows
- Training of new personnel
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite and Google Workspace applications
- Excellent customer service skills with professional phone etiquette and communication abilities
- Ability to multitask effectively while managing time efficiently in a fast-paced environment
- Bilingual capabilities are highly desirable to assist diverse staff and visitors
- Familiarity with QuickBooks or bookkeeping software is a plus for handling basic financial tasks
- Previous experience as a dental or medical receptionist or personal assistant enhances understanding of specialized office environments
