Reports to: Assistant Practice Manager
Schedule: Monday to Friday - Friday is a half day.
Essential Job Functions
- Welcome patients and visitors in a friendly, professional, and helpful manner.
- Anticipate patient needs, answer questions within the scope of the role, and help create a comfortable and positive patient experience.
- Answer incoming telephone calls, identify patient needs, schedule appointments, route calls, and create appropriate messages or tasks.
- Schedule appointments accurately and efficiently for both medical dermatology and Med Spa services while considering provider schedules, preferences, visit types, and appropriate use of appointment availability.
- Perform patient check-in, check-out, and booking of next appointments.
- Collect and update patient demographic, photo ID, insurance, contact, and authorization information.
- Verify patient identity using photo ID and established practice procedures.
- Assist patients with portal access, electronic forms, pre-arrival processes, and other digital patient tools.
- Review and respond to patient portal messages within the scope of the Patient Access role.
- Process referrals and assist with medical-record-related requests and workflows.
- Collect copays and outstanding patient balances.
- Protect patient privacy and maintain confidentiality of personal, medical, and financial information.
- Maintain accurate documentation within the electronic medical record and practice management systems.
- Help maintain efficient patient flow and appropriate use of provider schedules and preferences.
- Cross-train across scheduling, phones, check-in/check-out, referrals, and medical records, and assist in other areas of the practice as needed.
- Maintain the cleanliness and organization of patient-facing and front-office areas.
- Monitor office supplies and notify management when additional supplies are needed.
- Respond appropriately to emergencies, including patient distress, weather events, fire, and other safety situations.
- Follow practice policies, procedures, privacy requirements, and operational workflows.
- Perform other duties as assigned.
Qualifications
Required:
- High school diploma or equivalent
- Strong communication and customer-service skills
- Dependable attendance and punctuality
- Strong attention to detail
- Ability to manage multiple tasks and changing priorities
- Comfort working with computers and learning new technology
Preferred:
- Previous medical office, scheduling, front desk, or patient access experience
- Experience with electronic health records, practice-management systems, patient portals, or other healthcare technology

Physical Requirements
Prolonged sitting, standing, bending, and stooping may be required. Occasional lifting of boxes or supplies weighing up to 35 pounds may be necessary.
