Position Overview
Thinkblot Behavioral Sciences, PLLC is a locally owned behavioral science firm based in Reston, VA. We help organizations select, sustain, and develop personnel in high-trust, high-risk, and other critical roles, with a primary focus on public safety departments and organizations with specialized assessment needs. We are seeking a proactive, highly organized, and customer-focused Assessment & Selection Program Coordinator to support the day-to-day operations of our Assessment & Selection Program. In this full-time, in-person role, the coordinator will help keep schedules, customer communication, documentation, testing logistics, program initiatives, and workflow moving smoothly in a fast-paced, mission-driven environment.
Position Details
- Title: Assessment & Selection Program Coordinator
- Position: Full-time, in-person, approximately 40 hours/week
- Schedule: Monday–Friday, 8:00 AM–4:30 PM, with a 30-minute unpaid meal break. Occasional schedule adjustments may be required to support program coverage, customer needs, clinician support, special projects, or periods of increased program demand.
- Compensation: $55,000–$65,000 annually, commensurate with experience
- Benefits: Eligible after a 3-month probationary period: Health insurance & dental insurance 401(k) with up to 4% match
Responsibilities
- Serve as a primary non-clinical point of contact for customers, candidates, clinicians, psychometrists, and internal staff throughout the evaluation process
- Coordinate day-to-day administrative and operational workflows for the Assessment & Selection Program, including schedules, timelines, documentation, deliverables, and communication
- Manage scheduling for candidates, customers, clinicians, and testing sessions, including reminders, follow-up communications, and documentation requirements
- Resolve scheduling conflicts, cancellations, and last-minute changes with professionalism, responsiveness, and sound judgment
- Support customer and candidate communication by guiding participants through scheduling, intake, and evaluation-related administrative processes
- Coordinate and support standardized psychological testing in both in-person and virtual environments, including testing logistics, test security procedures, scoring support, and data entry
- Maintain accurate electronic and paper records, tracking tools, archived program information, and confidential documentation in accordance with organizational procedures and applicable confidentiality expectations
- Support clinicians, psychometrists, editors, leadership, and administrative staff by coordinating shared inboxes, calls, calendars, meetings, and internal requests to keep program workflows moving smoothly
- Prepare correspondence, reports, program materials, and administrative documents while supporting quality assurance and process consistency
- Assist with project coordination, special assignments, program development initiatives, new system implementation, and continuous improvement efforts related to program operations
- Provide administrative support across related organizational programs, including the Human Performance Program and other assigned initiatives, as workload and program needs require
Qualifications
- Associate’s degree required; or an equivalent combination of education and relevant professional experience
- Three (3) or more years of progressively responsible experience in program coordination, administrative support, scheduling, customer service, office management, or a closely related role
- Experience coordinating complex calendars, appointments, meetings, or multiple stakeholder schedules
- Excellent written, verbal, and interpersonal communication skills
- Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines
- Demonstrated ability to work independently, exercise sound judgment, and effectively prioritize competing responsibilities
- Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, Teams, SharePoint, and related collaboration tools
- Ability to quickly learn new software systems and technology platforms
- Experience maintaining confidential records and handling sensitive information with discretion, accuracy, and sound judgment
- Ability to collaborate effectively with multidisciplinary teams while providing exceptional customer service

Preferred qualifications include experience in healthcare, behavioral health, public safety, testing, assessment, credentialing, or another setting that requires careful handling of confidential information, complex scheduling, and high-volume customer communication.
The ideal candidate is calm under pressure, highly responsive, comfortable managing many moving parts at once, and able to balance warmth, discretion, accuracy, and follow-through in a service-oriented setting.
