Executive Administrative Assistant (Contract)

Summary:

Job Responsibilities:
Provide proactive, high-quality administrative support to executive leaders, including Director-level and above
Manage communications and serve as a liaison with internal and external stakeholders
Maintain strict confidentiality of highly sensitive information
Own and manage complex executive calendars, including scheduling across multiple time zones and rhythm of business cadence planning
Plan and coordinate domestic and international travel, including itineraries, approvals, and last-minute changes
Prepare accurate expense reports, ensure policy compliance, and reconcile with finance teams
Coordinate recurring meetings, agendas, materials, and follow-ups as part of ongoing operational cadence
Track budgets, support headcount management, and assist with recruiting activities
Coordinate team meetings, internal communications, and employee engagement activities
Manage onboarding and offboarding logistics, including system access and transitions
Support special projects including offsites, events, facilities coordination, swag orders, AMAs, and product launches
Leverage AI and productivity tools, including Microsoft 365 Copilot, for meeting preparation, communication drafting, workflow automation, and summaries
Requirements:
3 to 5 years of administrative, executive support, or business operations experience
Proven experience supporting Director-level or above leaders
Demonstrated experience with complex calendar management across time zones
Background in morale event planning and execution
Experience with travel coordination and expense reporting preferred
Proficiency with AI tools and Copilot-based productivity solutions
Proven ability to manage complex, multi-stakeholder executive calendars
Experience planning and executing morale and team engagement events
Strong organizational, time management, and multitasking abilities
Excellent written and verbal communication skills
Customer-service mindset with a proactive and positive attitude
Ability to adapt quickly and respond with urgency in a fast-paced environment
Exceptional attention to detail and strong problem-solving skills
Demonstrated ability to handle sensitive and confidential information with discretion
Additional Details:
Location: Redmond, WA (Hybrid: 3 days onsite)
Duration: 9 days
Pay Range*: $34.50 - $39 per hour
Weekly Schedule: 40 hours
Job Status: Non-Exempt
