Position Summary
The Early Childhood Assistant Director/Administrative Assistant serves as a key leader within the Early Childhood Center, providing administrative, operational, and organizational support while assisting the Early Childhood Director in the day-to-day management of the program. This position combines front office administration with leadership responsibilities related to staff support, compliance, family communication, student care, and program operations. The Assistant Director helps ensure a professional, welcoming, Christ-centered, safe, and efficient learning environment that supports Trinity’s mission and vision.

Reporting Structure
The Early Childhood Assistant Director/Administrative Assistant reports directly to the Early Childhood Director. This role works collaboratively with school staff, ministry team members, families, volunteers, and church leadership to support the daily operations and overall success of the Early Childhood Center.
General Responsibilities
- Assist the Early Childhood Director in overseeing the daily operations of the Early Childhood Center.
- Provide leadership support to teachers and staff to ensure consistency in program expectations, procedures, and classroom management.
- Serve as acting administrator in the absence of the Director, helping maintain smooth operations and decision-making continuity.
- Support hiring, onboarding, scheduling, and training of Early Childhood staff as directed by administration.
- Assist with staff supervision, classroom observations, coaching, and professional development initiatives.
- Help ensure compliance with all licensing, accreditation, DCF, county, state, and health and safety regulations.
- Assist in maintaining records required for inspections, licensing reviews, and audits.
- Support student enrollment, registration, and retention efforts, including tours and family engagement.
- Assist in coordinating school events, chapel services, parent meetings, orientation programs, and community outreach activities.
- Support implementation of emergency preparedness plans, safety drills, and campus security procedures.
- Help resolve parent concerns professionally and biblically in partnership with administration.
- Monitor daily attendance, staffing ratios, and classroom coverage needs.
- Assist with operational planning, policy implementation, and continuous improvement initiatives for the Early Childhood Center.

Specific Duties and Responsibilities
- Assist the Director with administrative leadership tasks, reporting, scheduling, and operational coordination.
- Manage front desk operations including greeting families, visitors, and staff. Serve as a primary point of contact for parents and guardians.
- Help oversee student admissions, records management, and enrollment documentation.
- Assist in coordinating substitute teachers and classroom coverage as needed.
- Support communication between administration, teachers, and families regarding school operations and student needs.
- Monitor and maintain compliance documentation for student health records, immunizations, incident reports, and emergency contacts.
- Assist with maintaining classroom supply inventories and coordinating purchasing requests.
- Support implementation of staff meetings, training, and compliance deadlines.
- Maintain accurate data and assist with reporting requirements for licensing and school administration.
- Provide support during inspections, accreditation visits, and emergency situations.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Early Childhood Education, Educational Leadership, Business Administration, or related field preferred.
- Prior leadership or supervisory experience in a preschool, childcare center, school, church, or nonprofit setting preferred.
- Experience assisting with licensing compliance, staff coordination, or school operations strongly preferred.
- Strong organizational, leadership, problem-solving, and interpersonal skills.
- Ability to lead with professionalism, flexibility, discretion, and a servant-hearted attitude.
- DCF Director Credentials or willingness to obtain preferred.
Minimum Qualifications
- High school diploma or equivalent required; college coursework in education, administration, or related field preferred.
- Minimum of 2 years of administrative experience, preferably in a school, childcare, or ministry environment.
- Ability to manage multiple responsibilities and exercise sound judgment in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to supervise and support staff professionally and respectfully.
Physical Requirements
- Able to remain stationary for extended periods.
- Capable of moving equipment/materials weighing up to 25lbs.
- Comfortable working around young children, including sitting, standing, running and climbing stairs.
- Able to lift and carry small children, up to 80lbs, in an emergency.
- Able to stoop, kneel, bend and crouch as needed.
Pay: $23.39 - $26.00 per hour
