Job Summary
We are looking for a sharp, organized coordinator to work directly alongside our Vice President of Branded Merchandise. This is a hands-on role at the center of our client operations. You will own the details that keep client programs moving, from first sample request through final delivery.

Responsibilities
- Support the VP of Branded Merchandise day-to-day — managing priorities, tracking open projects, and making sure nothing falls through the cracks
- Own client communications for active programs: status updates, sample coordination, product presentations, and follow-through on approvals
- Coordinate orders end-to-end — from intake through supplier purchase orders, production handoffs, and delivery confirmation
- Build and maintain client-ready presentations, spec sheets, and program rollout materials
- Bridge the VP with internal teams across sales, sourcing, and production to keep timelines on track
- Maintain accurate records across order management and industry platforms (ESP+, commonsku, SAGE, or similar) and assist with order processing and invoicing, in QuickBooks.
- Anticipate problems before they become fires — and resolve them with minimal direction
Skills
- Experience in the promotional products or branded merchandise industry is required
- Familiarity with ASI/distributor relationships and industry platforms such as ESP+, commonsku, or SAGE
- Prior experience in a client-facing coordination or account support role, ideally supporting senior leadership
- Strong written and verbal communication — polished, clear, and professional with clients and vendors alike
- Exceptional organizational skills and the ability to manage multiple active projects simultaneously under real deadlines
- Working knowledge of decoration methods, product sourcing, and order workflows
- Discretion with client, vendor, and pricing information
