POSITION DEFINITION:
Immediate supervision by department manager or judicial officer. Perform work consistent with executive secretary type of position, such as carrying out clerical and administrative procedures. Secretary III staff perform all duties that a Secretary II performs; however, a Secretary III works more independently and with more confidential information regarding personnel matters. Considerable latitude is given regarding judging of priorities and organizing one’s own work on a day-to-day basis within guidelines determined by the immediate supervisor and Policies and Procedures. Duties may extend to inter-departmental work assignments during periods of reduced workloads and as dictated by the overall secretarial/clerical needs of the Juvenile Division. All assignments include entry into the Show Me Courts System. Assignments may include being called upon to substitute for other clerical positions in any Court Department, such as the courtroom, the Business Office, the lobby reception desk and other positions. Requires performing duties in a secure institutional setting subject to constant video surveillance for purposes of security and the welfare of the detained youth.
Thorough knowledge of office practices, procedures, Microsoft Office Suite, clerical techniques and equipment such as copy machine, scanner, fax and dictation equipment. Knowledge and ability to utilize Show Me Courts, MOJJIS, Casenet, Cognos and Lotus Notes. May need knowledge and ability to utilize REJIS or AgencyID depending on assignment. May need thorough math skills in certain assignments. Ability to correctly apply the English language, including spelling, punctuation and grammar. Considerable skill in dealing tactfully and courteously with the public. Ability to design and maintain clerical records and forms. Excellent communication and telephone skills. Working knowledge of principles of office management and supervision and ability to apply this knowledge to varied work problems. Ability to keep records and prepare and design periodic reports from the records.
QUALIFICATIONS:
Must possess a high school diploma or its equivalent, preferably supplemented with some college or professional clerical/secretarial school. Three to five years of clerical/secretarial experience desired. A minimum typing speed of 60 words per minute required. Experience using computer equipment. EOE
