Overview:
The Clinic Administrative Assistant serves as the first point of contact for patients and visitors and provides essential administrative support to ensure smooth daily operations within the Federally Qualified Health Center (FQHC). This role combines front desk responsibilities with broader administrative duties, supporting patient flow, staff coordination, compliance activities, and overall clinic efficiency. The position requires professionalism, strong communication skills, and a commitment to delivering high‑quality, patient‑centered service.
Essential Duties and Responsibilities
Front Desk & Patient Services
- Greet patients and visitors in a courteous, welcoming manner.
- Manage patient check‑in and check‑out processes, ensuring accurate demographic and insurance verification information.
- Answer incoming calls, route inquiries, and provide general information about clinic services.
- Schedule, confirm, and adjust patient appointments in accordance with clinic protocols.
- Collect co‑pays, verify insurance eligibility, and process payments following established procedures.
- Maintain confidentiality and uphold HIPAA standards at all times.
- Monitor waiting areas to ensure a safe, clean, and patient‑friendly environment.
Administrative Support
- Assist with daily administrative tasks such as filing, scanning, data entry, and document preparation.
- Support clinical and administrative leadership with scheduling, meeting coordination, and communication tasks.
- Prepare and distribute internal communications, notices, and forms as needed.
- Assist with maintaining compliance documentation, logs, and reports required for FQHC operations.
- Coordinate incoming and outgoing mail, deliveries, and correspondence.
- Maintain office supplies and ensure front desk materials are stocked and organized.
Operational & Compliance Support
- Assist with onboarding processes for new patients, including registration and consent forms.
- Support quality improvement initiatives by helping track required data or documentation.
- Participate in emergency preparedness drills, infection control activities, and other compliance‑related tasks.
- Follow all clinic policies, procedures, and regulatory requirements, including HRSA, CMS, and OSHA standards.
- Provide support during audits, site visits, and inspections as directed.
Team Collaboration
- Work closely with clinical, administrative, and billing teams to support efficient patient flow and communication.
- Assist staff and providers with administrative needs to ensure smooth daily operations.
- Participate in staff meetings, trainings, and In‑Service sessions as scheduled
**Position may be assigned other duties as determined by their respective direct leader. **
Work Schedule
- Full-time, approximately 40 hours per week
- Schedule to be determined based on organizational needs
Deliverables
- Accurate and timely processing of all invoices
- Payments issued according to approved schedules
- Clean and reconciled accounts payable aging
- Complete and audit-ready documentation
Qualifications
- High school diploma or GED required
- Associate’s degree in Business, Healthcare Administration, or related field preferred
Education
- One (1) year of customer service, clerical, or front‑office experience
- Healthcare or FQHC experience preferred
- Experience with scheduling, phones, customer service or patient registration is an advantage
Salary and Benefits

· May require occasional travel between clinic sites.

Conditional Requirements:
This position is a Full-time employment status. The work schedule will be determined by the supervisor between regular office hours Monday to Friday from 7:30 am to 4:30pm for a total of 40 hours per week. This work schedule however, is subject to change with or without notice based on the Employer’s business requirement and/or by the demands of the employee’s job; Every effort will be made to adhere to the employee’s work schedule. This position is NON-EXEMPT” pursuant to the Fair Labor Standards Act (FLSA).
Other:
This position is paid on a bi-weekly basis (two [2] week period). KCHC adheres to all applicable deductions such as CNMI tax, Federal Tax, Medicare and Social Security.
