Position Summary
The Onboarding Coordinator manages the onboarding process after clinician sourcing, interviewing, and selection have been completed. This in-office position serves as a primary point of contact for clinicians and supports onboarding, orientation, training coordination, digital inquiries, employee materials, outreach initiatives, and general administrative needs.
Key Responsibilities
- Coordinate the onboarding process for selected clinicians, including required documents, credentials, screenings, forms, and training.
- Monitor onboarding progress and follow up with clinicians regarding outstanding requirements and deadlines.
- Maintain accurate clinician records and update onboarding statuses within the agency’s systems.
- Serve as the first point of contact for clinicians and applicants during onboarding.
- Conduct office tours and in-person orientation for clinicians who prefer to complete onboarding at the office.
- Assist clinicians with accessing onboarding platforms, completing forms, and understanding training requirements.
- Coordinate with Recruiting, Human Resources, Clinical Operations, and Scheduling to support a smooth transition from candidate to active clinician.
- Monitor website submissions from prospective clinicians, patients, and caregivers and route each inquiry to the appropriate department.
- Track digital inquiries to ensure they are acknowledged and addressed promptly.
- Take professional clinician headshots and create employee identification badges.
- Enter and organize information for customized materials, including business cards, hang tags, and other branded items.
- Assist with patient email campaigns, informational community outreach content, and other approved marketing initiatives.
- Provide accurate data entry and general administrative support based on the agency’s operational needs.
- Maintain the confidentiality of employee, applicant, and patient information.
Qualifications
- Previous experience in onboarding, healthcare administration, human resources, office coordination, or customer service preferred.
- Strong organization, communication, time-management, and follow-up skills.
- Comfortable learning and working with CRM, onboarding, email, website, and document-management systems.
- Ability to complete accurate data entry and manage multiple responsibilities.
- Professional demeanor and ability to work effectively with clinicians, patients, visitors, and internal departments.
- Basic experience with photography, marketing materials, or email campaigns is helpful but not required.
Pay: $22.00 - $24.00 per hour
