Overview
Mays Dermatology is a private, physician-owned practice that is located in the Pearland area. The primary responsibilities of the bilingual Medical Front Office Receptionist are exceptional patient care and attention to detail. Primary job duties include patient check in/check out, review EMR to verify necessary information, including insurance verification, and that all signatures/documents have been obtained as well as enter new patient information and patient updates.
Front office staff are the first people patients talk to over the phone or see when entering our office. It's important to ensure that patients feel welcome to the practice. A professional, friendly and considerate attitude are essential.
Reports to the Office Manager and Owners
ESSENTIAL SKILLS AND ABILITIES:
· Experience working in a front desk position and/or medical office
· Excellent customer service skills REQUIRED
· Strong interpersonal and communication skills REQUIRED
· Experience with insurance verification PREFERRED
· Previous Dermatology and E Clinical works (eCW) experience PREFERRED
· Bilingual in English and Spanish PREFERRED

RESPONSIBILITIES
Patient Check In/Check Out
· Welcoming and greeting all patients and visitors, in person or over the phone with polite and proper etiquette.
· Provide new patient with New Patient Forms, or if patient hasn't been seen in 1 year or more, they will fill out an updated demographics form
· Collect photo ID and verify patient demographics
· Ensure patient intake forms are completed correctly
· Update/collect patient insurance card and verify insurance eligibility
· Scan documents and assign to the appropriate location
· Accompany patient to exam/procedure room, if needed
· Process payments, collect copays, deductibles, self-pay monies or outstanding balances
·Check out patients (collect payments, if needed; schedule follow up appointments, etc.)
Administrative
· Completes visits and notes in EMR and updates data. Ensures insurance and patient documents are uploaded, appropriately.
· Places telephone calls to new patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment
· Checks phone messages and returns calls in a timely manner
· Provides backup support on telephones by answering central telephone system and directing calls accordingly
· Assist in general office duties and other duties as required
· Check mail, email, and fax regularly
· Multitasking between phone calls, registering new patients, etc.
· Maintain a complete on-going working knowledge of skincare terminology
· Address patient queries (via email, phone or in-person)
· Monitor physicians' schedules
· Maintain patient flow (checking patients in and out, confirming appointments, filling in cancellations, etc.)
· Attend all office meetings as scheduled
· Verifies Insurance Benefits prior to patient visits
· Create Slips in advance
· Comply with state and federal regulations and have a general understanding of HIPAA guidelines
Appointment Scheduling
· Schedule medical and cosmetic appointments using approved clinic management computer system
· Conducts daily review of schedule status for the remainder of the week and the following two weeks
· Schedules all appointments with the appropriate physician
· Confirms appointment if they are not confirmed though the automated system
· Cancels and reschedules appointments as necessary; conducts follow-up on no-shows
· Communicates with patients utilizing approved online systems
Miscellaneous Duties
· Maintain a professional appearance (nails at appropriate length, tattoos covered, uniform neat etc.)
· Inspects reception room for neatness
· Sanitize and clean lobby at the end of the day - Clean during the day if needed - At the end of the day tidy the magazine table
· Performs other duties as assigned
Schedule: Part-time (contract-to-hire), varies days Monday through Friday.
Pay: $16.00 - $18.00 per hour

Education:
- High school or equivalent (Required)
Experience:
- Medical receptionist: 1 year (Required)
- Insurance verification: 1 year (Required)
- Dermatology OR eCW: 1 year (Required)
