Position: Office Support Specialist & Billing Assistant
FLSA status: Non-Exempt
Position Summary
The Office Support Specialist maintains home office operations by posting the daily outgoing mail, processing scholarship applications, processing cookbook and promotional orders and acting as backup in various office duties. As Billing Assistant, processing premium and loan payments as well as printing and distribution of reports and invoices is performed.
Duties and Responsibilities
- Post daily outgoing mail for all office areas; assists departments with outgoing Fed-Ex shipment orders as needed
- Work with Billing Administrator to process payments received for insurance premiums and loan payments
- Print and mail premium notices, loan statements and monthly reports. Print, export and review monthly Association reports
- Collect, organize and process scholarship applications and reports
- Process cookbook orders and payment deposits
- Process giveaway orders for events nationwide
- Perform back-up receptionist duties
- Maintain office and kitchen supplies as well as responsible for ordering and replenishing supplies
- Perform various filing and document imaging duties
- Maintain operational manuals
- All other duties as assigned: this includes assisting other departments with appropriate approval of management or your immediate supervisor.
Education, Certification, License and Experience
- High school diploma or equivalent
- 1 – 2 years’ experience working in an office environment
- Proficiency with Microsoft Office Suite and data entry experience
- Experience with billing

Work Environment
Work is performed in a professional office environment. This is a full-time position in the office Monday through Friday. Hours of work are: 8:00 a.m. to 4:30 p.m. Additional hours may be required – based on business demands. Work is routinely performed using standard office equipment such as computers, phones, and copiers, in a fast-paced environment.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing duties of this job, the employee is regularly required to talk, hear, navigate about the office, use hands and fingers to type, sit for long periods of time, and view materials and equipment needed to perform required tasks. This position requires the ability to lift office products and supplies, up to 20 pounds. Work requires ability to reach into top filing cabinet drawers and bend or stoop to reach into bottom filing cabinet drawers.
Noise reduction devices are used when operating folder/inserting machine and postage machine.
