SUMMARY
The Union Payroll Administrator – Distribution is responsible for the accurate and timely processing of union payroll for field employees operating under multiple Collective Bargaining Agreements (CBAs). This position ensures compliance with union contracts, payroll regulations, and company policies while administering wages, fringe benefits, pension contributions, union dues, and health & welfare remittances. The role serves as a key liaison between field employees, union representatives, project management teams, and finance while supporting complex multi-state and multi-union payroll operations.
ESSENTIAL FUNCTIONS
· Complete and review daily timecard entry and related daily employee tasks
· Post and process weekly payroll and layoff checks/direct deposits to include returns/re-issues
· Manage field employee correspondence and complaints
· Implement and maintain project processes and procedures
· Calculate, reconcile, and remit union dues, fringe benefits, pension, and health & welfare contributions.
· Prepare and submit required union reports and certified payroll reporting, when applicable
· Establish payroll configurations for new projects, including union rates, deductions, and benefit structures
· Maintain compliance with federal, state, local, and union payroll regulations.
· Support internal and external payroll audits and provide requested documentation
· Interpret and apply multiple Collective Bargaining Agreements (CBAs), including reciprocal agreements, to ensure accurate wages and benefit allocations.
· Serve as the primary payroll liaison for field employees, union representatives, project management, and internal departments to resolve payroll and contract-related issues

· Exceptional attention to detail when auditing timecards, reconciling payroll discrepancies, and preparing documentation for internal and external audits

· Ability to clearly communicate contractual pay and benefits and respond to questions to field employees, subcontractors, union representatives and leadership in a timely, concise and professional manner

· Experience administering union reporting portals and electronic reporting platforms.
· Advanced proficiency with payroll, ERP, and timekeeping systems such as HCSS, Vista, and Microsoft Office, with strong Excel skills
· Thorough knowledge of interpreting Collective Bargaining Agreements (CBAs), reciprocal agreements, union classifications, fringe benefits, pension, health & welfare funds, and union reporting requirements.
· Must strictly maintain the confidentiality of personnel and payroll data
QUALIFICATION REQUIREMENTS
- 3–5+ years of union payroll experience, preferably in construction, utilities, or gas distribution, including multi-state payroll and administration of multiple Collective Bargaining Agreements (CBAs).
· Experience processing multi-state payroll
· Experience working with multiple CBA’s simultaneously
· Experience with HCSS, Vista or similar payroll/ERP systems preferred
· Bachelor’s Degree preferred although not required
Pay: $70,000.00 - $80,000.00 per year
