Executive Assistant

Part-time with a path to full-time | $15.00 to $18.00 per hour, commensurate with experience
South Shore Public Relations is a boutique public relations and integrated marketing firm serving nonprofits and small businesses across northern Indiana. As the firm grows, we are adding an Executive Assistant to keep our office running smoothly and our clients well served.
This role is the hub of our day-to-day operations. The Executive Assistant ensures every call, request, and detail receives a prompt, capable response, handles what can be handled independently, and knows when to loop in the right person. It is a role for someone who takes real ownership of the details, both in the office and beyond.
Responsibilities
- Serve as the first point of contact for scheduling, logistics, and general inquiries.
- Manage the principal's calendar and keep the week organized around client work.
- Triage the firm's general inbox, resolving routine correspondence and escalating sensitive matters unread.
- Welcome visitors, receive deliveries, and represent the firm well to everyone who walks in or calls.
- Coordinate meeting preparation, client logistics, and event support.
- Handle errands and off-site logistics as needed, from pickups to appointments for the principal.
- Maintain an organized, client-ready office environment.
- Pitch in wherever the team needs a hand.
Qualifications
- A minimum of 3 to 5 years of experience in an executive assistant, administrative, or office management role
- Demonstrated discretion. Our work involves confidential client matters, and this position requires a signed confidentiality agreement.
- Sound judgment about what to handle, what to delegate, and what to escalate
- Strong organizational skills and independent follow-through
- A warm, professional presence in person, on the phone, and in writing
- A collaborative approach; everyone on this team pitches in, including the principal.
- Valid driver's license, reliable vehicle, and proof of insurance
- Proficiency with email, calendaring, and standard office software
Compensation and Structure
- $15.00 to $18.00 per hour, commensurate with experience
- Part-time to start, with a defined path to full-time as the firm continues to grow
- Mileage reimbursement at the IRS standard rate; a company card covers all work-related purchases
- A dedicated desk, direct phone line, and a role with real ownership
- Weekday, office-anchored schedule with errands as needed, occasional evening and weekend availability for client events
