JOB SUMMARY:
The Purchasing Associate is responsible for receiving, put away and disburse inventory in and out of the storeroom. Other duties include utilizing the duplicator in the print shop. Also maintaining the inventory in the storeroom and on the patient care areas. Repackaging products into smaller packages and creating kits for patient use. The Purchasing Associate may be asked to create purchase orders and order supplies when necessary. Keeping the storeroom clean and tidy is also part of the duties of the Purchasing Associate.
PRIMARY RESPONSBILITIES AND DUTIES:

Keeps communications and conversations confidential.

Restock the patient floor areas on a regular basis. The Omnicell locations are reviewed and restock daily as necessary. The restock reports print at 7:05 am, and the critical low reports print at 2:45 pm if restocking is necessary.

The floor storage locations are restocked Monday, Wednesday, and Friday. If holidays conflict then they are restocked accordingly.

The Purchasing Associate is responsible for checking in all the incoming freight daily. The packing slip is checked against the products shipped and the purchase order. If all is correct, then the product is received into the computer and the packing slip is attached to the purchase order and filed in the completed file. The merchandise received is either restocked to the appropriate storeroom shelf location or delivered to the ordering department. Discrepancies are noted at the time of receiving and the appropriate steps are taken to resolve the situation.

This position also replenishes all the other departments of the hospital on a requisition basis. The requesting department sends their requisition to our department as needed.

Keeping track of inventory is required. If we find discrepancies, they must be resolved in a timely manner. Physical inventory is done completely at the end of the fiscal year. Ideally, we do spot inventories through-out the year as well. The Omnicell also need to be inventoried occasionally, to track and resolve discrepancies as well.

This position is also responsible for printing the forms that are ordered by the various departments that utilize our print shop. This requires the knowledge to run our duplicator.

Repackaging products into smaller lots may be necessary for some items. We also create kits to combine multiple items to be issued out at one time. This requires using shrink wrap and a hot air gun in some instances and a heat sealer in others.

The Purchasing Associate fills in to for the Purchasing Director when they are unavailable. This includes placing orders for the stock and non-stock items when necessary. This may include creating purchase orders. Placing the orders via phone, fax, e-mail, or online depending on the vendor. A knowledge of how to run these machines is helpful.

This position also requires the breaking down of boxes and keeping the storeroom clean and tidy. The shelving and the bins need to be wiped out occasionally.

Requirements:
EDUCATION/LICENSURE/CERTIFICATION:

High School diploma or equivalent required.

Med-Surg supply knowledge preferred.
EXPERIENCE:
ESSENTIAL TECHNICAL MOTOR SKILLS:

Ability to operate computer systems, talk in person on the telephone, hear in person and on the telephone, vision for close work, use of photocopier, fax machine, computer. Ability to read, write, and follow written and verbal directions accurately and with a minimum supervision. Ability to respond to common inquiries or complaints from hospital departments. Must have a working knowledge of general math concepts. Basic computer skills are necessary to process the receiving and requisition involved in this department. Monitoring and answering e-mail is required when the purchasing director is not available.
INTERPERSONAL SKILLS:
