Our company specializes in commercial property acquisitions, ground-up development, renovations, and property management. While hotels are our primary focus, our portfolio also includes land development projects, food and beverage, and mixed-use properties.
The Role:
We’re seeking a dedicated Business Operations Administrator to join our Corporate HQ. You will serve as the backbone of our corporate operations — a trusted, detail-oriented professional who keeps the business running smoothly across finance, legal, HR, compliance, and day-to-day administration while supporting leadership across our growing portfolio of hospitality properties and development projects.
Key Responsibilities:
- Oversee mortgage payment schedules and documentation across the portfolio
- Serve as the primary point of contact for property tax filings and adjustor communications, ensuring timely filings and resolution of assessments
- Manage property and general liability insurance policies, including renewals, claims, audits, and payment deadlines
- Handle business license filings and LLC annual reports across all entities
- Support HR functions, including onboarding logistics, employee file management, unemployment claims, company handbook updates, and coordinating new hire orientation
- Manage day-to-day office operations, including record keeping, assisting with accounts payable reconciliation, and responding to office equipment/property maintenance requests
- Coordinate employee health insurance policy renewals, changes, and open enrollment periods
- Source, negotiate, and manage vendor contracts across the portfolio, tracking contract renewal dates and maintaining an organized record-keeping system
- Assist with executive admin tasks, including handling errands, coordinating logistics, scheduling, etc.
- Assist with clerical tasks such as sending correspondence, managing files, and document proofreading duties as needed
- Perform ad hoc duties and special projects as needed
Skills
- Bachelor's Degree
- 5+ years of office management or executive assistant experience
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Exceptionally organized with a strong instinct for prioritization — you can manage competing demands without dropping anything
- Polished communicator, both written and verbal, who naturally represents the company well at every touchpoint
- Experience with QuickBooks or similar accounting software for bookkeeping tasks
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Discreet and trustworthy when handling sensitive information about personnel, finances, or projects
- Resourceful self-starter who doesn't wait to be told when something needs attention
- Ability to travel locally for errands as needed
Pay: $70,000.00 - $90,000.00 per year
