Full charge Office Manager for small landscaping company. Looking for someone who works independently in a fast paced seasonal environment. A/P, A/R, G/L, Reconcilliation, Cash forecasting, Payroll, Organization, Bidding and contracts- all office functions will be your responsibility. Experience with Quickbooks desktop a must. Excel, Outlook, Word. You will also be responsible for scheduling appointments.
This is a one person office environment. You will be answering phones, while communicating directly with the owner to bid jobs, create all contracts and Estimates. Applying customer payments. Collections, Entering and paying invoices. Monthly reconcilliations and calculating payroll hours into Excel. Cash forecasting ability is essential. Communicating with Accountant to provide requested information and reports. You must be organized and able to multitask as this is a very fast paced office environment.
Responsibilities:
*Manage the day-to-day office operations
*Oversee company cash flow and monitor incoming and outgoing funds
*Process accounts payable and accounts receivable
*Ensure vendors and subcontractors are paid accurately and on time
*Reconcile all bank and credit card statements
*Track company expenses and maintain accurate financial records
*Monitor contracts to ensure all work is billed, collected, and completed properly
*Answer customer calls and provide excellent customer service
*Coordinate with field crews and management
*Ensure monthly payments, loans, insurance, taxes, and recurring obligations are paid on time
*Prepare financial reports and assist with budgeting and cash flow planning
*Maintain confidentiality regarding all company financial information
Qualifications:
*Minimum 5 years office management, business management, or operations management experience
*Strong understanding of bookkeeping, cash flow, budgeting, and financial reporting
*Experience reconciling bank statements and managing business finances
*Excellent organizational and communication skills
*Able to prioritize multipleprojects and meet deadlines
*Self-motivated and able to work independently with minimal supervision
*High level of integrity and trustworthiness
*Comfortable handling company credit lines, vendor payments, and financial transactions
*Experience with Quickbooks desktop
*Microsoft Office (Excel,Word,Outlook) Proficient
*Experience in Landscaping industry a plus
