Administrative Assistant – Construction & Permit Expeditor for watermain and sewer construction operations. This role is centered around construction administration and NYC permit expediting. Responsible for managing permits, coordinating with NYC agencies, scheduling inspections, maintaining compliance, and supporting multiple active construction projects.
About the Position
We are willing to train the right candidate. While previous experience with NYC permitting systems is highly valued, we are looking for someone who is dependable, eager to learn, and capable of managing multiple priorities in a fast-paced construction office.
Key Responsibilities
- Prepare, submit, and manage permit applications through Department of Building, Department of Environmental and Protection, and the Department Of Transportation NYCStreets Permit Management System.
- Coordinate and expedite permit approvals by proactively communicating with NYC agencies.
- Schedule DEP inspections and maintain daily communication with necessary inspectors and agency representatives.
- Monitor permit status and resolve issues before they impact project schedules.
- Maintain organized project files, permit documentation, compliance records, and digital correspondence.
- Support with scheduling, project coordination, contract administration, and job tracking.
- Prepare contracts, proposals, and professional correspondence.
- Process billing for completed contracts.
- Manage multiple active construction projects while maintaining accuracy and meeting deadlines.
- Provide administrative support that directly contributes to the successful execution of infrastructure projects.
Qualifications
- Construction office, project coordination, or permitting experience is strongly preferred.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize multiple responsibilities and meet deadlines with minimal supervision.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- A professional attitude, strong work ethic, and willingness to take ownership of important responsibilities.
Pay: $18.00 - $25.00 per hour
