Job Overview
We are seeking a dynamic and bilingual (English/Spanish) Staffing & Scheduling Coordinator to join our team! In this vital role, you will be the driving force behind efficient talent acquisition, workforce planning, and scheduling operations.

Schedule
- Monday through Friday, 9:00 AM to 5:00 PM
- Participation in an after-hours on-call rotation, including evenings, weekends, and holidays on a rotating schedule
- Occasional local travel to clients' homes for supervisory visits and to community events
Core Responsibilities
Client Intake & Customer Service
- Answer incoming calls from prospective clients and referral sources
- Explain agency services and eligibility requirements
- Complete intake documentation
- Coordinate service starts
- Maintain communication with clients and families
Staffing & Scheduling
- Schedule caregivers using HHAeXchange or similar scheduling software
- Match caregivers based on client needs, availability, language, and location
- Respond quickly to call-outs and last-minute staffing changes
- Ensure uninterrupted client coverage
- Participate in the agency's rotating after-hours on-call schedule
Supervisory Visits
- Conduct routine supervisory home visits to clients throughout New Castle and Kent Counties
- Complete required supervisory documentation
- Monitor service quality and client satisfaction
- Address client concerns and communicate findings to management
Caregiver Recruitment & Personnel
- Assist with caregiver recruiting and interviewing
- Coordinate onboarding activities
- Maintain employee files and required documentation
- Monitor attendance and performance concerns
- Operations & Compliance
- Maintain accurate scheduling and client records
- Ensure documentation complies with agency policies
- Communicate operational concerns promptly
- Support office projects, audits, and accreditation activities as assigned
Qualifications
Required
- Bilingual English/Spanish
- Minimum two years of experience working for a home care, home health, or personal assistance agency
- Minimum two years of scheduling or staffing coordination experience
- High school diploma or GED
- Strong organizational and multitasking skills
- Excellent customer service and communication skills
- Computer proficiency including Microsoft Office
- Valid driver's license and reliable transportation
- Ability to conduct supervisory home visits throughout New Castle and Kent Counties
- Ability to participate in an after-hours on-call rotation
Preferred
- Experience with HHAeXchange
- Knowledge of Delaware Medicaid home care
- Experience conducting supervisory visits
Pay: $50,000.00 - $52,000.00 per year
