ACT 3 Catering is looking for an Office Administrative Assistant to join our awesome team! The Office Administrative Assistant is an integral part of the Admin Team at ACT 3 Catering, providing Event & Administrative support to Sales, Culinary, Operations, and Management Teams from the time an event is proposed through the execution. This position will handle a variety of administrative tasks as delegated by the Event Coordinators, Director of Catering, and NW Director of Catering, as well as day of participation at the events we cater on occasion.
Core Responsibilities:
- Greet clients & vendors as they enter the building
- Answer phones and address client’s needs – direct & transfer calls through the proper channel
- Filing of all invoices and receipts to the appropriate files and systems
- Check & verify accuracy of weekly equipment & linen deliveries/pick ups
- Order & coordinate linens for weekly events
- Creating and printing menu cards and menu boards for every event
- Coordinating building and equipment maintenance as needed
- Serve & participate in Food Tastings, Corporate & Social events
- Conduct post-event follow up to ensure the best experience was had
- Administrative support to the Event Coordinators, Director of Catering, and NW Director of Catering
- Assist with taking daily catering drop-off orders as necessary
- Assist Event Coordinators in daily operations of catering business
- Assist with daily operation deliveries, sales and marketing events, client tastings, etc. as the need arises
- Other general clerical support tasks that arise or as assigned
Qualifications and Experience:
- Friendly, outgoing, and find fulfillment in providing exceptional customer service experiences
- Thrive working in a fast-paced atmosphere with a variety of tasks
- Bachelor’s degree preferred, however; 2-4 years of applicable hospitality industry experience may substitute
- Thorough using Microsoft Office applications
- Must have a professional image and friendly demeanor
- Demonstrate a passion for the event industry
- Standard office hours plus evenings, weekends and some holidays are required. Schedule varies as event schedule fluctuates; flexibility is a must
Pay: $21.65 - $23.00 per hour
