Position Summary:
The Order Entry Specialist is the primary link between our customers' needs and our manufacturing floor. In this role, you take complex requests for wire and cable products and translate them into precise digital instructions for our production team. You aren't just typing in data; you are a technical gatekeeper who ensures that every detail—from the thickness of a wire’s insulation to the specific way it is wrapped on a spool—is exactly what the customer ordered and meets all safety and industry standards.
Key Duties & Responsibilities:
Order Review and Planning
Review incoming purchase orders for completeness, verifying pricing, contract terms, and lead times before acceptance.
Validate technical specifications, including conductor size, voltage ratings, and color codes, against industry standards (e.g., UL, CSA, RoHS).
Coordinate with engineering and production planning to confirm manufacturing feasibility and material availability.
Process order modifications, cancellations, and rush requests while assessing and communicating the impact on delivery schedules.
Operational Data Entry
Execute precise entry of customer orders into the ERP system, ensuring accurate data for part numbers, constructions, and exact lengths.
Support shipping and logistics by documenting specific packaging, labeling, and freight requirements within the order file.
Maintain controlled customer records and pricing agreements to ensure the integrity of the sales database.
Monitoring and Customer Communication
Monitor order progress through the production cycle and proactively notify customers of any changes to status or potential delays.
Communicate technical clarifications between the customer and internal departments to ensure final products meet design intent.
Support the sales team by generating reports on order volume, backlog, and emerging customer demand trends.
Quality and Compliance
Ensure all order processing activities adhere to company quality manuals and regulatory safety policies.
Assist in the documentation of customer returns or quality claims to facilitate root-cause analysis and corrective actions.
Qualifications & Skills:
Education: High school diploma or equivalent required; Associate’s degree in a business or technical field preferred.
Experience: 2+ years of order entry or sales support experience in a manufacturing environment; wire and cable industry experience is a significant advantage.
Systems: Proficiency in Microsoft Office (specifically Excel) and familiarity with ERP software (e.g., SAP, Oracle, NetSuite).
Technical Literacy: Ability to read and interpret technical drawings, purchase orders, and industry-standard specifications.
