We Care Home Care LLC is a faith-based, growing home care agency in Hiram, GA. We are seeking a professional, dependable, and detail-oriented Administrative Assistant to manage our office operations and client documentation.
This role is the "command center" of our office. Your primary focus will be maintaining flawless client files and ensuring our administrative systems are up-to-date and compliant with Georgia state requirements. *Prior experience in a healthcare or home care setting with a heavy focus on client file management is our top priority for this position.*
*Responsibilities:*
*Client File Management:* Maintain, organize, and audit client files to ensure 100% compliance with state and agency regulations.
*System Navigation:* Perform daily data entry and record management across multiple healthcare portals (HRST, Therap, Georgia Medicaid).
*Client Onboarding Support:* Assist families through the intake process, managing documents via SignNow and ensuring all paperwork is complete.
*Office Operations:* Answer incoming calls, manage the company inbox, and respond to inquiries from prospective clients and family members.
*Professional Communication:* Create and use email templates to communicate clearly with partners, doctors, and families.
*Administrative Support:* Pass critical information to the executive team and assist with compliance-related tasks as needed.
*Environment:* Maintain a clean, professional, and welcoming office environment.
*Required Skills & Qualifications:*
*Healthcare Experience:* Must have previous experience working in healthcare, home care, or a medical office setting.
*File Accuracy:* Exceptional attention to detail when managing sensitive client records and medical history.
*Technical Literacy:* High level of comfort with technology. You must be able to bookmark, organize, and navigate complex websites with minimal assistance.
*Independent Learner:* Ability to learn new systems and processes independently through video-recorded training.
*Professionalism:* High level of discretion and professional conduct at all times.
*Organizational Skills:* Strong time-management skills and the ability to work independently in a fast-paced environment.

*Office Tools:* SignNow, AxisCare, Monday.com, Zoho Mail, Zoho Cliq, Adobe
