Position Summary & Responsibilities
Position Summary:
This position is essential to ensuring that the facility has an adequate level of all items on hand including clothing, bedding, cleaning supplies and equipment, household supplies, office supplies and miscellaneous items necessary for to maintain daily operations of a 24/7/365 facility. This position provides coordination with various facility staff to enable efficient distribution of necessary items for completion of daily work requirements. Ensures enforcement of applicable security requirements including but not limited to pat searches, key control, tool control, and movement control.
Job Responsibilities may include but are not limited to the following:
- Maintains inventory on inmate uniforms, including information on sizes on-hand, sizes on-order, sizes damaged, and sizes needed. Maintains database by inmate including information on sizes issued, received, and damaged. Coordinates with laundry exchange room staff when residents are admitted or released. Coordinates with both compound laundry exchange rooms to ensure clothing orders are filled in a timely manner, and returned clothing is collected, de-tagged, and returned to inventory. Oversees sewing room production to ensure adequate supply of uniforms made on-site; communicates with Supply Warehouse weekly or as needed via supply requests to maintain adequate stock of purchased items. Utilizes database to track and record inmate clothing orders and transactions.

Ensures that an adequate level of all items is on hand including cleaning supplies and equipment, household supplies, office supplies and miscellaneous items necessary for the operation of the entire institution. Initiates the necessary paperwork, which begins the ordering process. Confers with Procurement Officer II regarding supplies required consumption and problems that affect the performance of assigned duties. Ensure stock is dated and rotated. Actions are taken to maintain an adequate level of stock, minimize losses and to maintain communication with supervisors regarding daily occurrences. The PPPS periodically reviews to ensure that adequate levels of goods are maintained. Performance is reviewed by Physical Plant Supervisor Specialist annually for completeness and as a part of employee’s evaluation.

Receives deliveries from vendors including all incoming freight. Logs and checks in all freight and marks property for appropriate departments. Checks packing or delivery slips to ensure items are in compliance with order as far as quantity, condition, quality, and specifications. Fills requisitions for supplies requested from the storeroom and delivers to requisitioning departments – accomplished through issuing supplies from approved requisitions. Is reviewed periodically by Procurement Officer II for accuracy. Dispatches delivery personnel to the appropriate areas. Supervises a detail of residents and trains residents in warehouse, safety and cleaning procedures. Maintains warehouse in a clean and orderly manner consistent with facility guidelines.

Maintains inventory on Officer Uniforms, including information on sizes on hand, sizes on order, sizes damaged, and sizes needed. Maintains database by officer including information on sizes issued, received, damaged. Coordinates with Human Resources regarding officers hired, separated, or terminated. Coordinates with both Security and Human Resources to collect uniforms from officers that separate from the facility. Calculates money owed to the facility from separating officers for the cost of boots; provides total to employee and Business Office.

Assists with supervision of residents assigned to the Laundry to ensure Laundry procedures and established schedule is followed. Assist in the laundry as needed to cover staff shortages. Examine clothing for wear and tear before making decision to replace. Routinely examines blankets, linens, towels and whites for signs of replacement for quality control. Replaces inmate clothing as deemed necessary to ensure the inmate has decent and fitting clothing within the normal size items on hand. Provides resident work clothing as residents are assigned to work details. Replace resident bedding during weekly bedding exchange.

Assists the other storekeepers in their duties. Assumes duties of the other storekeepers in their absence.

Catalogues, records, accounts for, and inventories all property items purchased by, transferred to and given to the facility. It is this employee’s responsibility to maintain files and records required by the TCF, the Department of Corrections, the Division of Purchases, the Audit Division, and the State of Kansas. Maintains accurate and current inventory records of all non-expendable goods purchased by this facility. Action is periodically reviewed by the Physical Plant Supervisor Specialist for accuracy and annually as part of employee’s performance appraisal. Maintains control of all items requested to be condemned and ensures that they are properly kept until authorization to condemn has been received and then sees that they are disposed of in an appropriate and most cost-effective manner. Maintains control of surplus items and distributes as approved. Completes paperwork, packaging, and ensures delivery of defective or broken property that is being repaired or replaced. This is done so as to maintain control of non-expendable property until proper authorization for disposal has been received. Responsible for maintaining a neat, clean and organized work area.

Confers with the Physical Plant Supervisor Specialist on problems, potential or existing, affecting his/her area of responsibility. Discusses needs and solutions to problems. This action is taken to establish communication between employee and supervisor as well as to accomplish what needs to be done by this department. Performs other duties as assigned by the Physical Plant Supervisor Specialist.

Qualifications & Requirements
Minimum Qualifications:
- One year of experience in storekeeping, including receiving, inspecting, cataloging, and storing goods and maintaining inventory records.

Must provide a High School Diploma/GED Certificate or college transcript.

Must be able to perform the essential functions of the position.

Must take and pass drug screen, background check, and Tuberculosis (TB) test.

Must be a current United States Citizen.

Must be free of misdemeanor convictions involving domestic battery as an adult unless the conviction was for a battery committed prior to July 1, 1997, and has been expunged.

Must be free of felony convictions.
